Job Description:
Working closely with both program and administrative staff, this position provides a spectrum of administrative services to DESC’s housing & homeless service programs. This position plays a key role in ensuring programs are complying with all applicable laws, regulations and contract requirements by preparing and reviewing lease files, supporting with training around move in and lease standards, providing audit support, and driving quality assurance activities. Strong candidates will have strong computer skills, including word processing, spreadsheets, databases, and Adobe Acrobat.
Major Duties And Responsibilities
- Train and provide ongoing support across departments around the Coordinated Entry process for new staff
- Maintain frequent contact with managers and frontline staff to review each team's workflow is aligned with larger CE referral process and to drive increased access to housing resources
- Assist with data analysis in housing placement trends including, but not limited to, referral attrition, mobility transfers, and rehousing risk assessments
- Update vacancy tracker and coordinate with internal and external stakeholders on referrals into DESC portfolio
- Coordinate VAT work at DESC including facilitating meetings, providing capacity for 1-2 VATs a week, and training staff to become VAT assessors as a VAT trainer
- Assist the leasing Compliance Associate in reviewing and compiling eligibility paperwork and lease files, as needed
- Assist in various quality assurance activities, including but not limited to internal audits.
- Attend and participate in relevant team meetings, agency sponsored trainings, all-staff meetings, and represent DESC in the community when needed; and perform clerical and other duties as assigned.
Requirements
Minimum Qualifications
- Relevant experience in an administrative setting
- Strong computer skills, including word processing, spreadsheets, databases, and Adobe Acrobat. Comfort working in open-source applications and/or ability to learn property management software.
- Careful attention to detail; Ability to organize and coordinate work efficiently; prioritize workload, work under pressure with tight timelines and changing priorities.
- Ability to work independently with a minimum of supervision, and act of own initiative, within agency procedural guidelines.
- Willingness to be flexible and work cooperatively with co-workers to accomplish all responsibilities of the team; Strong oral and written communication skills and ability to work effectively with staff from various backgrounds and disciplines; Appropriate safeguarding and handling of confidential and proprietary information.
Preferred Qualifications
- Bachelor's Degree
- Familiarity with subsidized housing system and experience working with individuals challenged by homelessness, mental illness and/or substance abuse
