Description

The Production Assistant supports the mortgage operations team by managing client files, updating loan milestones, organizing documentation, and ensuring smooth coordination across systems such as Encompass, BN Touch, and Floify. This role plays a key part in maintaining accuracy and efficiency from loan application to post-close, as well as supporting marketing and lead management activities.

Key Responsibilities

New Apps

• Complete Opt Out
• Rename and organize client docs in Encompass E folder
• Add Custom Questions to BN Touch
• Accept docs in Floify or reject if not legible, etc.
• Email total number of applications every Sunday
• Upload Stripe for credit payment to Encompass
• Send text through BN Touch for anyone who has NOT paid Stripe
• Add to “App Received” campaign in BN Touch
• Add new contacts in BN Touch/Floify
• Pre-Process: order title, appraisal, insurance
• Update milestone in BN Touch to “Under Contract”
• Update important information in BN Touch, notes, etc.
• Add servicing info in BN Touch once available
• Add client favorites info to BN Touch
• Add to BN Touch with notes and MMI numbers
• Add to Lender Logix, Encompass Contacts, BombBomb agent list
• Add to social media
• Create campaigns in BN Touch for events to send blast emails and texts
• Create Eventbrite events with RSVP information
• Add new leads to BN Touch with notes
• Email weekly reports on total number of new leads
• List leads who have NOT applied yet from the weekly new lead batch
• Send follow-up in Floify to all leads who have started an app but not completed it

Skills, Knowledge And Expertise

• 1–2 years of administrative, production, or loan support experience (mortgage industry preferred)
• Familiarity with Encompass, Floify, BN Touch, or similar CRM systems
• Strong attention to detail and accuracyExcellent written and verbal communication skills
• Ability to manage multiple priorities in a fast-paced environment
• Highly organized and proactive
• Comfortable with data entry, tracking, and follow-up
• Collaborative team player with a client-focused mindset
• Eager to learn and support multiple stages of the loan process
