Executive Assistant (Procurement)

Location: Parramatta

Salary: Clerk Grade 5/6, $99,398 to $110,271 pa plus employer’s contribution to superannuation and annual leave loading

Your Role

The Executive Assistant provides a range of executive support and administrative services to facilitate the delivery of business operations and to support the Chief Procurement Officer (CPO) achievement of organisational objectives and NSW Government priorities.

What You’Ll Do

The Executive Assistant (Procurement) (EA) provides a range of executive support and administrative services to facilitate the delivery of business operations and to support the Senior Executive/s achievement of organisational objectives.

You will provide EA, administrative and support services to facilitate the operation of the team/unit.

You will have the ability to adapt and prioritise tasks and have a strong understanding of providing high quality customer service. The successful candidate will also have strong organizational skills and will display the ability to maintain a high degree of accuracy on all deliverables within set deadlines.

As an EA for within our Finance and Procurement Services division, you will be responsible for but not limited to:

  • Assess and prioritise requests to facilitate the optimal use of the CPOs time.
  • Manage the CPOs diary appointments, records and correspondence, coordinate travel arrangements, and schedule and support meetings to facilitate the effective management of their agenda
  • Draft and prepare correspondence, agendas, minutes, presentations and briefing notes to support the achievement of business requirements
  • Gather, collate, and provide background information for the executive to support informed decision making and planning
  • Maintain and update administrative practices, systems, and procedures to improve efficiency and service delivery

What we’re looking for

The successful candidate must demonstrate strong capabilities in:

  • Ability to work in a high-volume customer focused environment
  • Ability to provide quality client service to a range of stakeholders
  • Possess well developed communication skills, self-starter, show initiative and motivated
  • Confident in using computers and a variety software applications
  • Ability to undertake multiple tasks with competing priorities and meet tight deadlines

It is essential that the candidate has high organisational skills, attention to detail and regularly takes initiative to enhance process and prioritise tasks.
