About The Team

This role sits at the center of how Basis operates day to day. You’ll create the space for our leaders to think clearly, move quickly, and lead well — through operational excellence, reliability, and care.

What You’Ll Be Doing:

We’re looking for an Executive Assistant to join the Office of the CEO who thrives on making things run smoothly– someone meticulous, proactive, and calm under pressure.

You’ll work closely with our leadership team to manage their calendars, communications, and daily flow so they can stay focused on what matters most. You’ll handle scheduling, travel, email triage, and internal coordination– all with precision, sound judgment, and warmth.

  • Manage complex calendars, prioritize time, and ensure meetings are well-prepped, structured, and intentional.
  • Handle scheduling requests quickly and thoughtfully, balancing competing needs and shifting priorities.
  • Anticipate scheduling conflicts and proactively resolve them before they surface.
  • Prepare leaders for meetings by confirming agendas, participants, and context.
  • Plan and manage travel — flights, hotels, itineraries, and on-the-ground details.
  • Support in-person meetings: materials, space setup, catering, and guest coordination.
  • Partner with recruiting on interview coordination and candidate scheduling as needed.
  • Manage inboxes– triaging emails, drafting thoughtful responses, and flagging what needs attention.

  • Coordinate internal and external meetings, including logistics, prep materials, and post-meeting follow-ups.

You’ll notice what needs doing before anyone asks, keep information moving, and make sure meetings are on time, well-run, and purposeful. This is a role for someone who finds real fulfillment in operational excellence, who takes pride in creating order, clarity, and momentum for others.

📍 Location: NYC, Flatiron office. In-person team.

What You’Ll Bring:

  • 3-5+ years of experience supporting senior leaders in fast-paced environments (startup experience preferred).
  • Pride in precision, organization, and follow-through.
  • Ability to anticipate needs and stays two steps ahead without needing direction.
  • Clear, concise, and warm communication– both in writing and in person.
  • Moving quickly without ever feeling rushed; balance in urgency and calmness
  • Discretion and good judgment with sensitive information.
  • Structure to ambiguity and clarity to complexity.
  • Desire in being the person others can rely on– steady, trusted, and consistent.
  • Genuine enjoyment in making the people and systems around you better every day.
