About The Job

  • The Administrative Assistant provides direct administrative support to the Division
  • Management team and works in collaboration with other team members and departments.
  • This position is responsible for documenting and distributing division procedures to field
  • locations and other departments and is based in the West Des Moines Division office.

WHAT YOUR DAY WILL LOOK LIKE

  • Supports the Division Management team by coordinating, managing and updating calendars. This includes proactively preparing and scheduling appointments, upcoming events, meeting support, reports and presentations. Assist with individual calendar schedules, contacts, and travel arrangements.
  • Coordinates meeting and event details including meeting space, accommodations, agenda, materials, AV, meals, entertainment, presenters and communications.
  • Communicates regularly with corporate departments regarding policy and procedural updates and revise Division documentation of policies and procedures, as necessary.
  • Facilitates internal and external correspondence, professionally composing and distributing information.
  • Assists with disbursement and collection of information to and from Branch Managers and location team members.
  • Performs administrative tasks such as routing documents for approvals, compiling reports, building presentations, paying invoices, record management and maintenance, and setting up virtual meetings.
  • Supports office technology needs, including computer and mobile procurement, set up, researching procedures, and troubleshooting.
  • Oversees purchasing of Division office supplies and promotional items, and assist with general office management, including facility, equipment and supplies.
  • May be required to operate a company vehicle as needed.
  • Other administrative-related duties as assigned by leader.
  • Reliable and regular attendance is expected.

Education & Experience

  • High school diploma or equivalent is required.
  • Minimum of three years of administrative work is required.
  • Valid U.S. driver's license is required.

Skills & Qualifications

  • Excellent written and verbal communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to prioritize multiple projects and adapt to changing objectives and timetables.
  • Customer service and problem-solving abilities.
  • Computer skills with an emphasis on Excel, PowerPoint, and SharePoint. Also including proficiency in Microsoft Office 365, including OneDrive.
  • Ability to learn new software, systems, and procedures.
  • Ability to handle confidential information with care.

Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 20 pounds.
