ChristianaCare’s Structural Heart Disease and Center for Aortic Health Programs within our Heart and Vascular Health is looking for a Surgical Scheduler III.
Structural Heart and Aortic Health Programs is located at 4755 Ogletown Stanton Road in Newark, Delaware. The Structural Heart Disease Program at ChristianaCare, established in 2011 as Delaware's first Structural Heart team, offers innovative, minimally invasive treatments for complex cardiovascular patients. The program utilizes a multidisciplinary heart team approach, bringing together interventional cardiologists, electrophysiologists, noninvasive cardiologists, cardiac surgeons, and dedicated nurse coordinators. This collaboration aims to achieve patient outcomes that consistently surpass the national average, with the nurse coordinators guiding patients through the evaluation process.
The Structural Heart Disease Program offers treatment for heart valve, wall, and chamber conditions through traditional and innovative minimally invasive procedures. It features a multidisciplinary "Heart Team" for personalized treatment plans, including Transcatheter Aortic Valve Replacement and new treatments for tricuspid valve disease. Additionally, Structural Heart Nurse Coordinators assist patients during the evaluation. The Center for Aortic Health focuses on aorta-related conditions, managed by a team of cardiologists, vascular surgeons, and cardiac surgeons, addressing aortic aneurysms and aortic dissections.
Work Schedule:
- Monday through Friday from 7:30am to 4pm
Duties / Responsibilities:
As a Surgical Scheduler III, will coordinate all aspects of scheduling for structural heart consults and procedures, including pre-operative and post-operative tests and appointments. The Surgical Scheduler III will collaborate with cardiac and vascular surgery teams to ensure post-procedure follow-ups and imaging for patients after aortic procedures are efficiently planned. Case scheduling involves entering details into Surginet, such as case names, relevant ICD10 codes, resources needed, equipment, time frames, and expected durations. The Surgical Scheduler III will coordinate resources and staffing requirements with various departments or vendors, particularly for special or routine cases, while managing urgent cases or last-minute additions and communicating changes to all stakeholders, including patients and families. The Surgical Scheduler III duties also include notifying patients and referring providers about testing and procedural dates, acting as a liaison with the heart team for evaluations and consultations, arranging pre-operative testing, and overseeing procedural scheduling. The Surgical Scheduler III will provide non-clinical preoperative instructions to patients and maintain a comprehensive patient database to ensure all preoperative clearances and tests are completed. The Surgical Scheduler III will ensure medical records are prepared and available for consults at the structural heart clinic, support clinic hours by collaborating with coordinators and staff for optimal patient evaluation and flow and keep patient records updated with all necessary test results. Engaging in performance improvement initiatives within the clinic, the Surgical Scheduler III will handle patient call backs according to directions from coordinators or providers and perform other related duties, as necessary. Daily interactions will occur with physicians, their offices, various departments, patients, and their families. The Surgical Scheduler III will also provide backup for phones, front desk, and supervisory roles when needed, ensuring all work is performed safely and reporting any unsafe conditions promptly.

Education Requirements:
- High School Graduate or GED required.
- Minimum of two years related medical office experience with knowledge of surgical scheduling for multiple providers.
- An equivalent combination of education and experience may be substituted.
