Position Overview:
The Workforce Administration (WFA) team ensures consistent, effective, and compliant management of employee data, processes, and services throughout the employee lifecycle. This includes retaining and overseeing outsourced HR administration, owning related processes, and managing global data. All these efforts are designed to support employees, enable HR functions, and maintain global standards.
The Workforce Administration Manager for an assigned region, will play a pivotal role in ensuring the seamless and compliant delivery of essential retained HR administration services. They will lead and optimize our retained Workforce Administration (WFA) functions, which are critical for maintaining accurate employee records, adhering to local government regulations, and administering benefits programs. This role directly impacts our operational efficiency and supports our employees throughout their lifecycle, enabling our business to focus on its strategic objectives.
Initially (first 6-9 months), the role will need to focus on transformation work, involving moving administrative or benefits administration work out of the scope of the HR Generalist or Payroll teams to the WFA team, collaborating with the respective regional leaders.
This position requires a strong understanding of HR operations within a multi-country context, encompassing local HR administration nuances, benefits administration, and employee data management. The WFA Manager will navigate complex challenges related to varied regulatory landscapes and diverse cultural environments. Their ability to innovate and streamline processes will be key to enhancing service delivery and ensuring a consistent, high-quality employee experience across the region.
The role has a direct influence over employee satisfaction, and overall operational effectiveness within the region. The WFA Manager will lead a team from 4 to 10 people (depending on the region) and will be directly responsible for leading, managing performance and coaching their direct reports.
Responsibilities:
- Oversee and manage all retained Workforce Administration (WFA) services within the designated region, which may span from a few to 10+ countries. Outside of NAM, that will include Benefits Administration too.
- Oversee, in conjunction with the Global Service Delivery team, the performance of the outsourced service, assign resources when required to ensure WFA processes are properly documented and executed
- Ensure compliance with all local government-mandated HR reporting and data requirements, maintaining up-to-date knowledge of relevant regulations.
- Identify opportunities for process improvement and implement solutions to enhance efficiency, accuracy, and employee experience within WFA services.
- Provide leadership, guidance, and development opportunities to a team of WFA professionals.
Stakeholder Management
The Ideal Candidate…
- Proven experience (7+ years) in HR operations, with a strong focus on workforce administration, HR shared services, or benefits administration in a multi-country environment.
- Experience in people management, minimum 2 years
- In-depth knowledge of HR compliance requirements, particularly related to employee data, reporting, and benefits administration across various international jurisdictions.
- Demonstrated experience with HRIS systems, preferably Workday, and case management tools, preferably ServiceNow
- Strong understanding of benefits administration principles and practices outside of North America.
- Excellent analytical and problem-solving skills, with the ability to navigate complex regulatory and operational challenges.
- Strong communication, interpersonal, and negotiation skills, with the ability to influence stakeholders at all levels.
- Proven leadership abilities, including experience managing and developing a team.
- Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
- English: Full professional proficiency is required. For the North America role: Full professional proficiency in English and Spanish is required. Other languages spoken in the respective region are an advantage
