Why This Role Matters:

The Document Specialist is responsible for the accurate development, maintenance, and organization of policy and client-facing documents for Hospital Indemnity insurance products. This role ensures all forms, certificates, notices, and applications are current, compliant, and accessible within a centralized document repository. The Document Specialist partners with internal stakeholders, compliance, and external vendors to maintain version control, accommodate product variations, and support regulatory and operational needs.

How You'Ll Contribute:

  • Maintain and update a centralized repository of Hospital Indemnity policy documents, ensuring accuracy and version control.
  • Revise and update client-facing forms, certificates, applications, and notices in accordance with regulatory and product requirements.
  • Catalog, track, and manage all document versions to ensure proper auditability and compliance.
  • Collaborate with Compliance, Product, and Operations teams to incorporate regulatory changes into documents.
  • Accommodate unique requirements for specific books of business, distribution partners, and policy types.
  • Perform quality checks on documents to ensure accuracy, consistency, and alignment with approved standards.
  • Support audits and regulatory reporting by providing accurate document records.
  • Assist in drafting Standard Operating Procedures (SOPs) related to document control and version management.
  • Provide timely updates and communication to stakeholders regarding document changes.
  • Work effectively with internal teams and external partners, including offshore teams, to maintain consistency in document management processes.

What We'Re Looking For:

  • Bachelor’s degree in healthcare administration, business, communications, English or related field (or equivalent work experience).
  • 2–4 years of experience in document management, healthcare insurance operations, or compliance support.
  • Familiarity with health insurance products, particularly Hospital Indemnity, Accident, or Critical Illness.
  • Strong organizational skills with proven experience in version control and document repository management.
  • Proficiency with Microsoft Office Suite, especially Word (document formatting) and Excel (tracking logs).
  • Knowledge of compliance requirements applicable to health insurance (HIPAA, Section 125, ERISA).
  • Excellent attention to detail and ability to manage multiple priorities with accuracy.
  • Strong communication skills, including working with cross-functional and offshore teams.
  • Fluency in Spanish (or another language other than English) will be given strong consideration.

Compensation:

Our compensation reflects the cost of labor across several U.S. geographic markets. The base pay for this position ranges from $52,000/year in our lowest geographic market up to $70,000/year in our highest geographic market. Pay is based on factors such as market location, job-related skills, and experience.
