Organizational Setting and Reporting Relationship

The position of Senior Operations Assistant is assigned to the Solomon Islands Resident Mission (SORM) within the Pacific Department. You will be based at our resident mission office in Honiara.

You will report to the designated International Staff and officer (as applicable).

Your Role

As Senior Operations Assistant, you will support the Country Director by performing a full range of administrative and coordination tasks to ensure the smooth operations of SORM.

You Will:

Calendar and Meeting Management

  • Manage supervisor's calendar by confirming meetings, updating changes, resolving scheduling conflicts, and making informed decisions when organizing appointments.
  • Secure arrangements for internal and external meetings, including logistics, venue coordination, materials preparation, and communication with attendees.

Travel and Mission Coordination

  • Plan and organize mission travels, including flight selection, itinerary planning, hotel and transport arrangements, meeting schedules, and processing of travel authorizations and expense claims.
  • Coordinate activities with PARD and other departments, including providing support to visiting missions (e.g., Board of Directors, Management, and other ADB staff), and ADB-organized workshops by managing logistics, registration, and venue arrangements.
  • Facilitate and record mission clearance requests for other staff and consultants and inform relevant stakeholders.

Office Administration

  • Maintain office supplies and external contact directories and manage both digital (SharePoint) and physical filing systems to support efficient office operations.

Documentation And Reporting

  • Monitor incoming and outgoing documents, reports, emails for action or reassignment (in the absence of responsible international and local staff), to ensure completion of required actions.
  • Draft routine correspondence on behalf of the supervisor and prepare responses to more complex topics, for supervisor's review and signature.
  • Ensure all correspondence and documents are accurate and comply with ADB standards.
  • Compile and analyze data to produce routine and ad hoc reports.
  • Prepare Excel spreadsheets and PowerPoint presentations to support reporting, meetings, and other documentation needs.

Other Responsibilities

  • Perform other tasks as assigned by the Country Director and designated International Staff, and as reflected in your workplan.
 

Qualifications

 

You Will Need:

  • Bachelor's degree in economics, finance, business administration, or relevant fields.
  • At least 5 years of relevant professional experience. Related experience and demonstrated understanding of international organizations and their operational processes is desirable.
  • Proficiency in Microsoft 365 (Word, Excel, and PowerPoint) and relevant IT, graphics, and database applications
  • Experience collaborating with colleagues across teams, individuals from different cultural and national backgrounds, and external stakeholders.
  • Familiarity with local institutions and experience in maintaining effective relationships with counterparts.
  • Excellent written and verbal proficiency in English and local language.

Additional Information

This appointment is open to internal and external applicants.

This opening is a local staff position. It is open only to nationals and permanent residents of Solomon Islands.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date, whichever comes earlier, for the purpose(s) and conditions determined by ADB following Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
