Compliance and Operations Coordinator

Position Overview
The Operations and Compliance Coordinator will ensure seamless operational processes while maintaining adherence to regulatory requirements, company policies, and industry standards. This role supports daily operations and implements compliance frameworks to mitigate risk and optimise performance.
Key Responsibilities
Operations Management
- Coordinate daily operational activities across departments
- Monitor and optimise operational workflows and procedures
- Assist in process improvement initiatives and efficiency projects
- Support project management activities and timeline adherence
- Maintain operational documentation and standard operating procedures
- Coordinate with vendors, contractors, and service providers
- Support all matters relating to compliance
Compliance & Risk Management
- Monitor compliance with legislation and local regulations
- Maintain compliance documentation and audit trails
- Assist with internal and external audits
- Conduct compliance training and awareness programs
- Track and report on compliance metrics and KPIs
- Identify and escalate compliance risks and issues
DART (Document Action and Risk Tracker) is JLL's platform designed to capture the completion of risk events and associated actions. Data Source for Compliance: DART serves as the data source for compliance and risk management reporting, supporting internal and external audits. The key DART responsibilities are:
- Capture and Track Risk Events: DART is used to record risk events and the associated mitigating actions across various geographies and properties. This includes engineering, health and safety, and compliance-related actions.
- Monitoring and Reporting: DART provides dashboards and reports on open, overdue, and completed actions, supporting ongoing risk management and compliance monitoring.
- Sampling Program Integration: All sampling issues, actions, action owners, and due dates from the Sampling Report must be transferred into DART to monitor timely closure.
- Support for Audits and Assessments: As DART is used to track actions arising from audits, assessments, and inspections, ensuring non-conformities are addressed and closed.
- Collaboration and Accountability: DART enables collaboration between JLL, HSBC, and service partners, assigning ownership and deadlines for each action to ensure accountability.
- Escalation and Decision Tracking: The platform is used to log decisions, actions, and notes (DANs) from meetings, providing a systematic way to capture and circulate updates, escalations, and resolutions
Administrative Support
- Prepare reports, presentations, and compliance documentation
- Maintain databases and filing systems
- Coordinate meetings and manage calendars
- Support budget tracking and expense management
- Handle confidential information with discretion
Required Qualifications
- 2-3 years of experience in operations or compliance roles
- Strong understanding of regulatory requirements (industry-specific)
- Proficiency in Microsoft Office Suite and database management
- Excellent organisational and project management skills
- Strong attention to detail and analytical abilities
- Effective written and verbal communication skills
Preferred Qualifications
- Professional certifications in compliance or operations
- Experience with compliance management software
- Knowledge of risk management frameworks
- Previous experience in LOLER and PUWER operations
