Operational in Indonesia for more than 40 years, IOM Indonesia is working on a wide range of activities in partnership with the Government of Indonesia, civil society, private sector actors, migrants and communities. IOM Indonesia is engaged in several thematic areas, including: Counter-Trafficking (CT), Labour Mobility and Social Inclusion (LMI), Disasters, Climate and Resilience (DCR), Immigration and Border Governance (IBG), Refugee Care, Migration Health, Migration Governance, and Resettlement and Voluntary Returns.
IOM’s Immigration and Border Governance (IBG) Division supports Member states in strengthening the policy, legislation, operational systems, human resources and administrative and technical structures required to respond more effectively to diverse migration and border management challenges. IBG project and activities are in line with IOM’s commitment to facilitate orderly, safe and regular migration and mobility.
Under the direct supervision of the Immigration and Border Governance National Project Officer and the overall supervision of the Programme Manager, the Project Assistant will be responsible for supporting the implementation and provision of targeted technical assistance to beneficiaries of projects related to maritime security and land border post capacities. In addition, the Project Assistant will be also responsible to provide clerical support to the programme and initiatives and the Immigration and Border Governance portfolio.
Responsibilities And Accountabilities
- Provide general/clerical assistance and support the implementation and organization of IBG project activities, such as trainings, meetings, workshops and community engagement initiatives.
- Assist in note-taking, meetings/workshops/activities reporting, and translating project and communication materials to/from Bahasa Indonesia and English.
- Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions
- Assist in updating project monitoring tools and related documentation, under the guidance of the National Project Officer.
- Retrieve, compile, summarize, and present information/data on specific project topics to support project reporting and external communication efforts.
- Draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
- Under the guidance of the National Project Officer, provide support in Assist in drafting, designing visibility products and other publication materials.
- Respond to general information requests and inquiries; set up and maintain files/records.
- Perform other related duties as assigned.
Required Qualifications and Experience
Education
- School diploma with three years of relevant experience; or,
- Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with one yearof relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
- Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations
- Indonesian National with good knowledge and understanding of migration issues and border managment in Indonesia context, is an advantage
- Previous experience in developing social media contents, publication, and drafting is advantage
- Able to manage workload within general schedule of work, instructions and standard practices.
- Demonstrated ability to work in a multicultural, multi-ethnic environment and to maintain effective working relations with people of different national and cultural backgrounds.
Skills
- Technology savvy, proficiency in Microsoft Office tools (Word, Excel, Outlook, Powerpoint, Sharepoint)
- Strong communication and writing skills
- Ability to operate designing software (Photoshop, Canva, etc.) would be an advantage
- Good personal commitment, efficiency, flexibility, creative thinking and attention to detail
- Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds
