We have an exciting Export Documentation Specialist opportunity in our Merriam, KS office. The Export Documentation Specialist is responsible for supporting international shipments by preparing and managing documentation for refrigerated goods and ensuring that all documentation meets export regulations and customer requirements This role requires a high level of accuracy, organization, multi-tasking, and the ability to work in a fast-paced, dynamic environment.

Responsibilities
- Prepare, review, and compile export documentation to ensure timely and compliant customs clearance at destination.
- Effectively manage multiple tasks across diverse international markets and payment processes.
- Maintain organized records and filing systems for all assigned shipments, ensuring traceability and audit readiness.
- Process Letters of Credit and collections via bank portals, adhering to financial and regulatory requirements.
- Monitor and track shipments, providing timely updates and communication to internal and external stakeholders.
- Submit/Confirm accurate filings to the Automated Export System (AES) and provide complete shipping instructions to ocean carriers.
- Reconcile and process vendor invoices promptly to support financial accuracy and vendor relationships.
- Maintain and update Standard Operating Procedures (SOPs) to reflect current practices and regulatory changes.
- Adhere to departmental SOPs, ensuring consistency and compliance in all export documentation activities.
- Perform additional duties as assigned, contributing to team efficiency and operational excellence.

Required:
- Prior export documentation experience or related field 1+ years.
- Strong organizational skills with the ability to manage high volumes of email and documentation.
- Exceptional attention to detail and follow-through to ensure accuracy and compliance.
- Ability to prioritize workload effectively and meet tight deadlines in a fast-paced environment.
- Demonstrated critical thinking and independent problem-solving skills.
- Comfortable working in a constantly changing work environment.
- Ability to quickly adjust to shifting priorities, evolving processes, and frequent changes.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and SharePoint.
Preferred:
- Background in global trade
- Experience in preparing and processing a wide range of export documents
- Knowledge of FSIS export country requirements.
- Knowledge of incoterms
- Familiarity with letters of credit and bank processes
Schedule
- 8:00 am to 5:00 pm or as needed based on business demands.
