Role? Sales Operations Agent to take ownership of administrative, technical and invoicing tasks for Vend Finland and serve as the OTC go-to person in Finland for Nordic-level projects.
Location? Join us in our Helsinki office with the flexibility to 50% work remotely: your choice, your balance.
Salary? 3200-4000€ depending on your skill level.

Who Are You?

  • Experience with B2B invoicing & debt collection process, and skills in BI reporting tools.
  • ERP & OTC are more than a combination of three letters for you, and you’ve possibly contributed to software integrations (no worries, we’re not looking for a coder!).
  • A people-centric communicator & ability to balance simultaneous projects - you’re the glue that keeps a variety of both internal & external stakeholders collaborating seamlessly together, so requests come from multiple outputs. This challenges you to manage their expectations, react to ad hoc requests and prioritise tasks.
  • We use Microsoft Dynamics 365 for invoicing, finance, and operations. Orbyt for displaying the invoice image and for sending invoices to our clients, goTom / Display as Invoicing system, SVEA (Debt collection process), and Tableau for accounting and financial reporting - thus experience or knowledge of these is a big plus!
  • Fluency in English (our official company language) and in Finnish (since the majority of our customers are Finnish-speaking).
  • As a person, you're a self-starter, self-driven, agile in learning and willing to train and teach others, too.

What’S The Job Like?

Day-to-day work
While our sales colleagues are having their focus on customers, you bring in the focus on our business! You’re the right hand to our sales teams and act as a point of contact between our customers, external financial partners, controllers, analysts, tech teams and Sales Operations colleagues in the Nordics. You cover the OTC (Order-to-Cash) and account order management activities, including sales order entry, delivery creation and invoicing. Along the way, you jump in when order issues or bugs occur and coordinate system fixes. Furthermore, you take responsibility for invoicing control processes by monitoring actual sales data and updating weekly and monthly invoice validation reports and following up any recurring problems.

Sometimes things don’t go smoothly, so the debt collection process is also on your agenda: you keep track of assigned accounts to identify outstanding debts, investigate and resolve discrepancies with our debt collector partner and keep stakeholders up-to-date about late/lacking payments in Finnish. You also play a role in updating our current OTC processes and taking part in Nordic-level projects from the OTC perspective. Thus, you execute test cases of the new services and train sales managers on them. All in all, without your expertise, we would have unnecessary barriers to growth from a financial perspective.
