Responsibilities:
Responsible to provide prompt, effective and efficient administration in verifying and processing of all payment request / invoices submitted by vendors, contractors and ensure its accuracy in all respect before they reach to finance, for all construction projects.
Specifically, you will be responsible to:
- Timely prepare ROPs / COIs of all invoices submitted by vendors and contractors after verification against tender documents BOQ’s / Contracts. Follow up with relevant engineers and project managers for approvals and ensure its accuracy before submitting to Finance for further process, and maintain / keep its record for future retrievals.
- Maintain and track awarded contracts. Monitor running bills and compare them to awarded contract values. Identify cost overruns, variances, and assist in preparation of variation orders. Collaborate with Finance, Purchase and Accounting teams to ensure accurate cost tracking and reporting and provide updates on regular basis.
- Prepare, and provide invoice status report on weekly basis and follow up with relevant engineers for discrepancies.
- Identify gaps between BOQ’s and actual invoice Quantities and assist in preparation of Variation Orders.
- Coordinate with Finance and purchase department for required documents, ensuring compliance with all applicable local and federal regulations and best business practices.
- Ensure that filing and record keeping are designed and maintained to permit easy retrieval of information
- Provide support in department administrative and logistics matters.
- Be vigilant in cost tracking and time management.
- Ability to work on multiple approved Construction and renovation projects.
Requirements:
- Bachelor’s degree in Engineering or Equivalent
- At least 2 – 5 years working experience in the field of Construction works in addition Accounting experience.
- Comprehensive knowledge of construction trades (civil, mechanical and electrical) and activities.
- Proficiency in related computer software packages.
- Ability to work with multidisciplinary teams both individually and collectively
- Ability to work under pressure
- Excellent communication and interpersonal skills
- Experience of working within a customer focused environment along with exceptional administration skills.
