Clinical Service Representative III
Classification Minimum Requirements: High school diploma or equivalent and four years of medical office experience, that includes the knowledge of CPT and ICD-9 coding guidelines as well as basic medical terminology. Appropriate college coursework or vocational/technical training may substitute an equivalent rate for the required experience. Job Description:Manage clinical practice for at least one physician within the Department of Neurosurgery.
Schedule outpatient clinic appointments, surgical cases, and ancillary diagnostic tests. Coordinate with a
range of services, including Radiology; Neurology; Ear, Nose, and Throat (ENT), Orthopaedics; and the
Cancer Center in referring patients for further consults and/or treatment. Arrange hospital admissions,
which involve providing diagnostic, procedure, and insurance information. Communicates with patients (as
needed) regarding insurance authorization issues. Obtain authorizations for emergency, add-on cases.
Remind patients of appointments. Prepare and mails letters and instructions to new patients. Determine
dates of service with all units. Ensure follow-up appointments are made. Handle patient questions. Ensure
that all appropriate magnetic resonance imaging (MRIs) and computed tomography (CTs) are scheduled.
Daily uses Epic, Shared Medical Systems (SMS), and other healthcare information technology (IT)
systems.
- Accompany physician(s) into the Neurosurgical Specialties Clinic whenever the physician(s) is/are
- there. Physically interact with patients. Obtain demographic and financial information from patient; verify
- insurance coverage to obtain approval from third party payers for further visits, surgery, and/or surgical
- procedures. Schedule patients for Pre-op Anesthesiology Clinic, and other tests with Radiology and
- Laboratory.
- Personally assistant one or more physicians for academic, educational, and administrative
- functions within the program. Receive and review all incoming mail; independently determine appropriate
- actions and draft correspondence for physician’s signature. Liaise between physician and attorneys in
- arranging depositions (time, place etc.). Assemble necessary material for depositions, including medical
- records, films, etc. Research scientific journals and other publications for academic references (as needed
- by the physician). Maintain physician’s calendar, make travel arrangements, coordinate scheduling of
- multiple committee (and other) meetings (local, national, and international). Assist with workshops and
- conference schedules (as needed). Coordinate paperwork for visitors and medical students, including
- Health Insurance Portability and Accountability Act (HIPAA) training, patient observation forms, Institutional
- Review Board (IRB), and other paperwork (as needed). Assist with meeting arrangements, and other
- functions, with individual board members and representatives of participating institutions.
- Respond to all calls from patients, attending physicians, attorneys, insurance carriers, and other
- healthcare personnel. Resolve calls, either by direct response or by forwarding to mist appropriate person
- (i.e., resident, advanced registered nurse practitioner (ARNP), physician assistant (PA), etc. Assist in
- scheduling new patients with neurosurgical disorders from referrals taken by the department's New Patient Referral Team based on established protocols.
$18.05-$20.50
Required Qualifications: High school diploma or equivalent and four years of medical office experience, that includes the knowledge of CPT and ICD-9 coding guidelines as well as basic medical terminology.
