Description
We are seeking a skilled and motivated Front Desk Administrator to oversee front office operations and serve as the first point of contact for employees, visitors, and vendors. In this role, you will create a professional, warm, and welcoming atmosphere both in person and over the phone. The ideal candidate is dependable, detail-oriented, highly organized, and able to manage multiple tasks with strong time management skills.
- Answer and direct incoming phone calls to the appropriate staff or department
- Welcome and assist visitors, employees, and vendors in a professional and friendly manner
- Guide internal and external guests to the correct staff member, department, or appointment
- Maintain office supply inventory by ordering and restocking as needed
- Open, sort, and distribute daily mail and packages
- Oversee the maintenance of office equipment, coordinating cleaning, repairs, or service as required
- Prepare and manage all outgoing mail and packages
- Handle filing, scanning, and faxing tasks to support office organization
- Creating standard operating procedures for front desk task and processes
- Keep the reception and front office area clean, organized, and welcoming
- Coordinate scheduling for conference rooms and meeting spaces
- Assist with company events as needed
- Contribute to special projects and initiatives as assigned
- Commit to continuous learning and professional growth to expand skills, responsibilities, and contributions to the company
Requirements
- Pass pre-employment drug screen and consent to random, reasonable suspicion, and post-incident drug testing
- Must sign confidentiality, non-disclosure, and non-solicit agreement
- High School Diploma or Equivalent required
- Minimum of 2 years of administrative support experience
- Excellent knowledge of MS Office (Excel, Word, PowerPoint, SharePoint, Teams)
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Have excellent communication skills, including verbal, writing, and listening
- Detail-oriented and able to multitask
- Must have critical thinking and problem-solving skills
- Ability to maintain a positive, friendly attitude even under high pressure
