PROGRAM AND LOCATION: Volunteers of America, a Certified Great Place to Work, is currently recruiting for a full-time HVRP Office Assistant for our Veterans Services Team in Mather, CA. Funded by the U.S. Department of Labor, the Homeless Veterans Reintegration Program (HVRP) is a federal program that focuses on addressing the barriers facing homeless and at-risk veterans and helps reintegrate individuals into meaningful employment within the labor force. The program offers employment readiness, workshops, job counseling, resume preparation, job placement, and retention services. Full-time employees (working 30 or more hours a week) are eligible for a benefits package that includes paid holidays, vacation, health, dental, vision, life, and short-term disability insurance coverage.
Responsibilities
Position Summary:
The HVRP Office Assistant is responsible for assuring quality service in a safe, non-judgmental manner to all clients, visitors, and employees compassionately and professionally as it relates to the specific office duties. Work is performed in a cost-effective and service-oriented manner as it relates to established organizational standards. OBJECTIVES/ACTIVITIES:
- A. Perform daily responsibilities for the operating needs of the Veteran Resource Center.
- Obtain resource materials for the Veteran Service Center (flyers, brochures, etc).2. Maintain current job listings (job board, job book).3. Provide IT assistance to the Veteran Services Center clients (set-up emails, printing, resume building, etc.).4. Greet the public and assist all walk-in visitors.5. Receive all incoming /make outgoing calls, answer questions for clients, visitors, and staff. Direct calls as needed.6. Provide resources and resource materials as needed.7. Responsible for the daily sign-in log, scheduling, setting up, and coordinating VSC training and meetings.
- B. Provide clerical assistance for the HVRP team.
- Responsible for pre-assessment enrollment of all veterans’ referrals for HVRP.2. Data entry into New Org software, run reports, and documentation.3. Maintain inventory, order incentives, and office supplies.4. Update of weekly SSVF/HVRP roster and events calendar.5. Create spreadsheets and reports as requested.6. Copy, email, fax, and distribute documents.7. May perform other duties as assigned.
- C. Responsible for self-development.
- Continually learn and enhance technical and interpersonal skills.2. Cross-training.3. Attend staff meetings/assigned training and complete required certifications as needed to perform duties.
Qualifications
Education And Experience:
This position requires demonstrated ability to communicate and comprehend oral and written instructions and to provide services to clients without ethnic or social prejudices. Necessary office skills include proficiency with computers, especially data entry using Excel and Word Processing. The position requires demonstrated ability in record keeping, mathematical comprehension, and good written and verbal communication skills. The ability to provide a kind and welcoming environment to all visitors, along with a polite telephone demeanor, is a must. Understanding of the military community and Veteran status is a plus. Background check required.
