Are you a highly organised and proactive professional with a passion for supporting senior leaders in a dynamic environment? We’re seeking a highly experienced Executive Coordinator, looking to take the next step in their career, to provide high-level support to our Vice President and Chief Operating Officer (VP&COO) at RMIT University.
About The Role
You will play a key role in ensuring the smooth operation of the executive office. You’ll manage complex schedules, coordinate communications, and act as a trusted point of contact for internal and external stakeholders. With a strong focus on professionalism and discretion, you’ll support the VP&COO in delivering strategic priorities across the organisation.
Key responsibilities include drafting communications, coordinating meetings and events, maintaining documentation systems, and supporting the P&COO’s leadership of the Operations Portfolio. Acting as a key liaison, you will also support team engagement, track deadlines, and represent the VP&COO on delegated administrative tasks. This position requires excellent organisational skills, sound judgement, and the ability to manage sensitive matters in a dynamic and fast-paced environment.
About You
- Proven experience supporting senior executives in large, complex organisations.
- Exceptional judgement, with the ability to act with diplomacy, patience, discretion, and tact.
- Excellent customer service and interpersonal skills, with the ability to build strong relationships across all levels.
- Highly developed written and verbal communication skills, with strong attention to detail.
- The ability to work flexibly, efficiently, and collaboratively in a fast-paced, service-focused environment.
- A proactive mindset, with strong problem-solving and critical thinking abilities.
- Outstanding organisational skills and the ability to manage competing priorities with ease.
- Proficiency in Microsoft Office 365 and experience with document management systems.
- Knowledge of financial processes and/or experience in the tertiary education sector (highly desirable).
Please Note: Appointment to this position is subject to passing a Working with Children and National Police Check.
