The Colorado Geological Survey (CGS) is seeking a highly organized and detail-oriented Accounting and Administrative Assistant to provide technical and program/office support.We are seeking a highly organized and detail-oriented Research Support and Accounting Assistant to provide technical and program/office support. This role involves assisting with various budget-related duties, including payroll reallocations, project management and financial reporting, as well as supporting land use reviews and invoicing. The successful candidate will play a key role in ensuring continuity of operations while offering administrative assistance and support for fiscal year-end processes.
Key Responsibilities:
Budget Officer Assistant Duties:
- Prepare monthly payroll reallocations and ensure they are processed accurately
- Create and distribute project management and financial reports on a monthly basis
- Inform Project Investigators of status and availability of funds per grant
- Verify the accuracy of payroll reallocations and resolve discrepancies
Land Use Review Support:
- Assist the Program Assistant in logging land use reviews and tracking their progress
- Handle invoicing for land use applications, ensuring accurate and timely billing
- Research and find contact information for land use review applicants
- Log payments received from land use applicants
- Prepare and send reminder and warning letters for unpaid invoices
Financial And Fiscal Year-End Duties:
- Pull financial reports to assess available funding for year-end purchases and expenses
- Assist employees with preparing and submitting expense reports and spend authorizations
- Ensure invoices submitted for payment are accurate and paid in a timely manner
Administrative Support:
- Assist employees in submitting timesheets and leave requests by the designated deadlines
- Assist employees in purchasing supplies and materials as needed
- Assist with inventory tracking and record-keeping
- Assist with additional duties as needed
Qualifications:
- Previous experience in office administration or as a budget assistant is highly desirable
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with accounting or budget processes
- Experience with Workday

Hourly Rate and Work Schedule
This position’s contract is expected to run [hopefully indefinitely, but at least through December 31, 2026. The position is 75% of full time (30 hours per week), with a pay range of $25-$27 per hour, depending on experience.
