Weichert Commercial Brokerage is hiring a part-time Administrative Assistant in Morris Plains, NJ. This is a Hybrid role with in-office job duties. The Administrative Assistant is responsible for various daily activities like providing support to the President and inter-acting with Sales Associates. The position facilitates prompt and professional correspondence and communications, and compiles and maintains reports for the Company.
Job responsibilities include, but are not limited to, the following:
- Processes commission payments daily using the company's systems.
- Creates new commission invoices using Quickbooks software for all closed sale & lease transactions using info submitted by the agents. Emails all open invoices to our customers monthly using Quickbooks. Interacts with the company's Commission dept. as necessary.
- Creates files for all new exclusive listings daily and maintains files for all current property listings and their expiration dates. Maintains a full report of all current listings in an Excel format.
- Places all sign orders with our vendor using paperwork submitted by the agents.
- Prepares new hire paperwork for incoming agents using the company's system and interacts with the HR dept. as necessary.
- Prepares/submits requested standard monthly reports to the President.
- Tracks all vendor invoices for payment by the accounting dept. using the company's systems.
- Provides routine office support including distributing mail & monitoring/ordering office supplies.
- Provides some administrative support to a few Senior Sales Associates.
- Handles confidential and time-sensitive information.
- Performs other duties as assigned.
- High school diploma or GED
- One (1) to two (2) years of administrative experience preferred
- Proficiency in Microsoft Office suite of products & Excel. The company will train for the use of Quickbooks to create and track commission invoices.
- Good oral and written communications skills
- Strong attention to detail
- Basic math skills including addition, subtraction, multiplication, division, percentages, and fractions
- Knowledge and ability to use typical office equipment
