We are seeking a highly organised and proactive Executive Assistant to support our Executive General Manager (EGM) of Finance, Commercial & Digital (FCD) playing a key role in enabling the success of our FCD Group
About The Role
As the Executive Assistant to the EGM of Finance, Commercial & Digital you will provide high-level, proactive, and timely executive support to the EGM and their leadership team. Your role will be central to the smooth running of the Group, coordinating responses, managing complex documentation, and ensuring all administrative obligations are met to support the Group’s deliverables.
This is a dynamic and varied role that requires exceptional organisational skills, attention to detail, and the ability to work flexibly in a fast-paced, complex environment. You will be responsible for preparing high-level briefs, papers, agendas, minutes, and submissions, as well as managing the EGM’s schedule, correspondence, and key stakeholder relationships.
Key Responsibilities
- Executive Support: Provide comprehensive executive support to the EGM, including diary management, meeting coordination, travel arrangements, and ensuring all timeframes and deliverables are met.
- Documentation & Correspondence: Draft and prepare complex documentation, including Executive and Board papers, business cases, communications, and Ministerial responses, ensuring accuracy and compliance with corporate standards.
- Governance & Quality Control: Guide the leadership team through the Executive MOS, Board, and Board Committee paper review process, ensuring all papers meet corporate secretariat guidelines and are delivered on time and to a high standard.
- Meeting Coordination: Prepare agendas, take minutes, and track actions for EGM leadership meetings and other key forums; coordinate inputs and follow up on required actions.
- Project & Event Coordination: Support the coordination of team projects, workshops, and events, providing input and logistical support as required.
- Administration & Operations: Manage day-to-day administration for the Group, including maintaining effective filing systems, managing sensitive and confidential information, and overseeing procurement and financial processes (including pCard reconciliation).
- Stakeholder Engagement: Build and maintain strong relationships with internal and external stakeholders, handling enquiries—including contentious and sensitive issues—with professionalism and discretion.
- Business Support: Provide proactive, evidence-based advice to the EGM and leadership team to support informed decision-making and business outcomes.
About You
To succeed in this role, you’ll bring:
- Experience: Minimum 5 years’ experience as an Executive Assistant, supporting senior leaders in a complex, fast-paced environment.
- Qualifications: Diploma in Management or Business Administration, or equivalent skills and knowledge gained from practical experience.
- Communication: Exceptional verbal and written communication skills, with the ability to prepare high-quality reports, briefs, and correspondence.
- Organisational Skills: Outstanding ability to multitask, prioritise, and manage competing demands under tight deadlines.
- Analytical & Problem-Solving: Strong data literacy, analytical skills, and the ability to research, summarise key issues, and develop innovative solutions.
- Stakeholder Management: Excellent interpersonal, negotiation, and liaison skills, with the ability to build networks and manage sensitive issues confidentially.
- Technical Proficiency: Advanced computer skills, including desktop applications and document management systems.
- Judgement & Integrity: Demonstrated ability to use sound judgement, maintain confidentiality, and provide efficient, high-quality business support services.
