Job Summary

Supports FM procurement activities, focusing on sourcing, supplier management, and process improvement for janitorial, maintenance, grounds, waste, and HVAC services. The Finance / Contract Manager reports directly to the Finance Director and is responsible for leading all procurement and contracting activities while also managing key financial responsibilities for the account. This role ensures sourcing strategies, vendor management, and contract governance deliver value and compliance, while supporting financial reporting, budgeting, and alignment with client objectives.

Essential Duties

  • Category and Supplier Management
  • Support category strategy development and execution for FM services.
  • Conduct sourcing events, supplier evaluations, and contract negotiations.
  • Track supplier performance and support issue resolution.
  • Maintain supplier records and compliance documentation using MS Office and Smartsheet.
  • Stakeholder and Requirements Management
  • Build relationships with internal stakeholders and suppliers.
  • Assist with project plans, timelines, and communication.
  • Ensure procurement documentation and process compliance.
  • Provide regular status updates to stakeholders.
  • Core Responsibilities
  • Support cross-functional procurement projects.
  • Manage multiple tasks and priorities in a remote setting.
  • Identify and address process improvement opportunities.
  • Lead procurement and sourcing activities, including vendor selection, RFP/bid management, contract negotiations, and execution.
  • Manage supplier relationships to ensure performance against KPIs, SLAs, and contractual obligations.
  • Oversee contract governance, including renewals, change orders, compliance monitoring, and risk management.
  • Review and track purchase orders, invoices, and payments for accuracy, compliance, and alignment with contracts.
  • Provide financial modeling and commercial analysis to support procurement strategies, cost optimization, and decision-making.
  • Maintain governance frameworks and audit readiness for procurement and financial activities.
  • Support account transitions and expansions with financial and contractual expertise.
  • May perform other duties as assigned.
  • Finance & Reporting
  • Prepare, analyze, and present finance reports related to procurement spend, savings, and supplier performance.
  • Collaborate with finance teams to ensure accurate budgeting, forecasting, and spend tracking.
  • Support adjacent finance activities, such as invoice reconciliation, cost allocation, and financial audits.
  • Use financial data to identify trends, risks, and opportunities for cost optimization.

Qualifications

  • Bachelor’s degree in Business, Supply Chain, Finance, or related field.
  • 3–5 years’ experience in procurement or sourcing (FM services a plus).
  • Familiarity with procurement systems (SAP, Ariba, Smartsheet, MS Office).
  • Experience preparing and interpreting finance reports and supporting finance-related processes.
  • Professional certification (CPSM, CIPS, PMP) a plus.
  • Proven track record of executing cost savings initiatives in FM spend categories.
  • Ability to develop a savings pipeline over time.
  • Understanding of procurement best practices, policies, and procedures.
  • Building and managing diverse relationships.
  • Strong financial acumen, including the ability to analyze financial data and produce finance reports.
  • Effective Communication (both verbal and written).
  • Creative problem-solving and decision-making.
  • Strong negotiation, analytical, and communication skills.

Salary: The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package, this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
