Aldar Education are currently seeking an outstanding Personal Assistant to the Heads of School for the Lower School and Middle and Senior School Principals at Mamoura British Academy in Abu Dhabi commencing immediately.
Mamoura British Academy is a British curriculum, mixed gender school until Year 9 and a girl’s only school from Year 10 onwards. It is located in a state of the art building in the heart of Abu Dhabi. Leadership Support
- Handling different tasks from Heads of School on a weekly basis
- Managing line managers’ schedules and bookings for meetings
- Canva designs for school engagement events as needed
- Prepare reports, presentations, creatives and other documents as required
- Preparing visual aids for meetings
- Ensuring that administrative and clerical tasks are undertaken in accordance with agreed policies, procedures and appropriate legislation
- Arranging appointments, meetings, interviews and any associated refreshments
- Preparing agendas and processing minutes of meetings at the direction of the Heads of School
- Receiving visitors, monitoring and responding to telephone calls, messages, enquiries and dealing with emails
- Supporting with Arabic translation when required
- Establishing and maintaining appropriate filing and record systems
- Assuming responsibility for administrative arrangements for any school events as directed by the Executive Leadership Team
- Liaising with teaching and non-teaching staff and responding to enquiries
- Attending any necessary training associated with the duties of the post
- Maintain the highest level of confidentiality and discretion in handling sensitive information
- Monitoring Parent Agreements and ensuring 100% completion from families
- Tracking staff attendance documents
- Undertaking any other reasonable duties within the overall function, commensurate with the grading and level of responsibility of the post
Trips & ADEK Related Tasks
- Applying on Evotix trips and associated risk assessments
- Coordinate ADEK approvals for school trips, activities, external visitors and activity purposes
- Contacting parents for IA documents, then sending those documents to GRE for approval
- Coordinating with Director of Inclusion on IA tracker for NOC, contracts, ADEK Passes of inclusion assistants, etc. to support GRE
- ADEK related tasks such as homeroom allocations, missing information for students (EID, parent contact information), teachers subject allocations on Beta and eSIS
- Provide support with ADEK requirements and processes as needed
Finance & Procurement Support
- Working with the Accountant to support with the monitoring of the Budget for the Heads of School
- Raising PR’s for the education team (teachers included)
- Approvals for Aldar vendors to come into school
- Reaching out to suppliers for quotes
- Ordering supplies for events
- Accepting office and school supply deliveries
- Support in booking and preparing F&B for education events outside the PR/PO process
- Manage Teaching & Learning and Assessment subscriptions: maintain active subscriptions, coordinate renewals, and update the Teaching & Learning schedule
Minimum Qualifications :
· Minimum diploma / degree of higher education; or related industry qualification, of graduate level for the assigned functional area(s)
Minimum Experience :
- At least 2 years of experience in a similar role.
- Previous experience in the Education sector is preferable.

- Excellent communications skills in both English & Arabic.
- Excellent interpersonal skills to communicate with parents from diverse multi cultural background.
- Excellent organizational and administrative skills.
