What is the role?
The role of the Conference & Events (C&E) Co-ordinator is to support the Club’s C&E and Special Events team as we aim to grow revenue and maximise the use of our venue through meticulous event planning. The Co-ordinator will be responsible for completing all event planning and administration duties, ensuring effective communication between guests, team members, and other stakeholders. A key part of the role involves conducting detailed planning meetings with clients, and where possible, upselling additional event enhancements to maximise the value of each event.
The C&E Co-ordinator will work closely with both the Front of House and Operations teams to ensure that all events are delivered exactly as sold. The ultimate goal is to meet, and wherever possible, exceed guest expectations by providing a seamless and exceptional experience.
What will you be doing?
You will support the wider team in achieving C&E growth targets by executing detailed and accurate event planning that encourages repeat business. Timely completion of all administrative tasks related to event planning is essential. You will also produce comprehensive event sheets to clearly communicate all event details—including timelines, themes, and logistics—to the wider team.
In collaboration with the sales team, you will actively upsell event enhancements and promote the Club’s special events. Building strong relationships with existing clients will be key to delivering first-class events and encouraging repeat bookings. You will also champion the use of our diary management system, ensuring it is used efficiently and that all financial administration is completed promptly.
Being self-motivated and maintaining a positive, can-do attitude is essential. You will be expected to manage your weekly tasks effectively and work collaboratively within the team. In line with the company’s Health and Safety Policy, you will identify and escalate any concerns as needed, and adhere to all relevant risk assessments to maintain a safe working environment.
Is This You?
To succeed in this role, you will need excellent customer service and organisational skills, along with the ability to manage your own time effectively. Strong communication skills are a must, as is the ability to remain composed and efficient in a fast-paced, high-pressure environment. Attention to detail and the ability to take initiative are essential, as is the capacity to self-motivate and maintain a consistent can-do attitude while working collaboratively within the team.
