Individual will use and maintain company databases. Ensures consistent and uniform use and implementation of standardized company formats, procedures, and standards. Utilizes excellent interpersonal skills in maintaining balance with all parties' requirements and priorities and applies effective listening techniques. Demonstrates professional and ethical behavior in all business relationships. Individual will perform other duties as assigned.
Detailed Activities Include:
Document Control (80%)
- Use and maintain company databases (Oracle Aconex, internal drives, document logs) for project filing systems and databases.
- Receive, process, monitor, and expedite internal and external distribution of engineering and supplier documentation.
- Participate in document review processes and ensure compliance with project procedures.
- Operate reprographics and general office equipment to support documentation needs.
- Ensure consistent use of standardized company formats and procedures.
Administrative Support (20%)
- Provide clerical and technical support including compiling and arranging data, running reports, and processing documents.
- Assist engineers and staff with document composition, editing, and production.
- Maintain comprehensive records and files, including electronic file structures.
- Support marketing-related activities such as preparing for conferences, trade shows, and internal events.
- Coordinate purchasing and inventory of office supplies and document assembly materials.
- Arrange travel and support scheduling needs for staff.
Minimum Qualifications:
Education Required: High School Diploma. Additional and relevant education in business administration or a related field is a plus.
Experience Required: Minimum of 2 years of job-related experience in document control or administrative support.
Experience Preferred: Experience in an engineering environment. Experience with Aconex Software.

- A high level of proficiency in Microsoft Office suite; Word, Excel, Teams, Outlook and PowerPoint is required with competency in software applications for database management.

- Applies attention to detail and accuracy in document handling, proofreading, and administrative tasks.
- Possesses effective time management and organizational skills, capable of managing multiple priorities in a fast-paced environment.

- Supports a continuous improvement culture, offering ideas and feedback to enhance workflows and efficiency.
- Capable of working independently while also contributing to team goals and project success.
Ability to pass and maintain security and drug screening is required. Successful candidate will be required to understand and comply with company policies, procedures and processes. Although rare, some overtime work may be required.
Position Location: Position located in a Zachry Nuclear Engineering office in Charlotte, NC.
