Purpose Of The Role
The Senior Administrative Assistant provides advanced administrative and operational support to project managers, site leaders, and teams delivering construction and engineering projects for Worley. This role ensures that critical project documentation, reporting, and coordination activities are executed accurately, efficiently, and in alignment with Worley’s purpose of delivering sustainable change. Acting as a central point of coordination, the role requires strong organizational skills, discretion, and the ability to manage high volumes of project data in a fast-paced construction environment.
Key Responsibilities
- Provide high-level administrative support to project managers, site supervisors, and cross-functional teams working on complex construction and engineering projects.
- Prepare, review, and analyze confidential project documents, reports, budgets, and presentations, ensuring accuracy and alignment with project goals.
- Coordinate site-based and virtual meetings, including scheduling, preparing agendas, capturing minutes, and ensuring follow-up actions are tracked.
- Manage and maintain project files, records, and databases in compliance with company standards and industry requirements.
- Support project mobilization and demobilization activities, including processing site access documentation, orientation scheduling, and travel coordination.
- Assist with monitoring project costs, generating financial reports, and supporting compliance with customer and internal reporting requirements.
- Serve as a liaison between site leadership, head office functions, and contractors ensuring timely and professional communication.
- Provide oversight and guidance to junior administrative staff, offering training and mentoring to build capability within the team.
- Troubleshoot and resolve issues with administrative systems, tools, and processes, acting as a subject matter resource for project teams.
- Contribute to continuous improvement by streamlining administrative processes and supporting alignment with Worley’s sustainability objectives.
Qualifications / Skillset
- Extensive experience in senior-level administrative roles within construction, engineering, or large-scale project environments.
- Strong understanding of project documentation, cost tracking, reporting, and compliance requirements in a construction context.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management or ERP systems; ability to prepare professional-quality reports and presentations.
- Demonstrated ability to handle confidential information and sensitive project data with integrity and discretion.
- Excellent organizational and time management skills, with the ability to manage competing priorities across multiple projects.
- Strong written and verbal communication skills, including the ability to draft, edit, and present clear project documentation and correspondence.
- Analytical capability to review budgets, perform calculations, and interpret project data for reporting and decision support.
- Collaborative approach with proven ability to work effectively with site leadership, engineers, contractors, and corporate teams.
- Experience mentoring or guiding junior administrative staff to ensure high standards of performance and accuracy.
- Secondary school education or equivalent required; substantial professional experience in construction or project-related administrative roles essential. Additional training or certifications in business administration, project coordination, or construction management are advantageous.
