What This Job Involves:
As a Facilities Coordinator at JLL, you will provide support for, monitor the performance and coordinate a small team of multi-skilled operatives while developing close working relationships with key Client stakeholders/partners, landlords, managing agents and all facilities vendors to ensure seamless facility operations and exceptional service delivery. This comprehensive facilities coordination role combines team support with operational oversight, requiring you to assist in management of all contractors on site to ensure they perform to required standards including inspection of vendors' works, assist in procurement of vendors and services as required, and ensure prompt and accurate management of purchase orders in internal financial management platforms while supporting monthly accrual reports and finance tracker monitoring. You will play a crucial role in JLL's commitment to operational excellence by conducting site inspections, assessments, regular audits and carrying out safety procedures along with building procedures and performance measures, assisting in implementation of property risk management programs and industry best practice operations, and maintaining premises in neat and good working condition while supporting disaster recovery and business continuity plan implementation.
What Your Day-To-Day Will Look Like:
- Provide support for, monitor performance and coordinate small team of multi-skilled operatives for comprehensive facility operations
- Develop close working relationships with key Client stakeholders, landlords, managing agents and facilities vendors for seamless service delivery
- Assist in management of all contractors on site ensuring required standards performance including inspection of vendors' works
- Assist in procurement of vendors and services as required while ensuring prompt and accurate purchase order management
- Support financial processes ensuring all financial management requirements completed in timely and accurate manner
- Conduct site inspections, assessments, regular audits and carry out safety procedures along with building procedures and performance measures
- Assist in implementation of property risk management program and industry best practice operations for optimal facility performance
- Support implementation and monitoring of disaster recovery and business continuity plans while following escalation and incident reporting procedures.
Required Qualifications:
- Experience in facilities coordination with ability to provide support for and coordinate multi-skilled operative teams
- Strong relationship building skills for working with Client stakeholders, landlords, managing agents and facilities vendors
- Understanding of contractor management including performance standards and vendor work inspection processes
- Knowledge of procurement processes for vendors and services including purchase order management systems
- Experience with financial management requirements including monthly accrual reports and finance tracker monitoring
- Ability to conduct site inspections, assessments, and regular audits while implementing safety procedures and building protocols
- Understanding of property risk management programs and industry best practice operations
- Knowledge of disaster recovery and business continuity plan implementation and monitoring.
Preferred Qualifications:
- Background in facilities coordination operations with multi-skilled operative support experience
- Understanding of internal financial management platforms and purchase order systems
- Experience with Key Performance Indicators (KPI) and Service Level Agreement (SLA) target achievement
- Knowledge of escalation procedures and incident reporting protocols
- Familiarity with regular management reports and project support requirements
- Understanding of premises maintenance and good working condition standards
- Experience with vendor performance inspection and quality control processes
- Background in commercial real estate facilities operations and stakeholder coordination.
