The Department Coordinator II supports the University of Louisville's Department of Environmental Health and Safety (DEHS) by performing a variety of office tasks. This position assists in daily office needs such as answering phones and working with UofL employees coming into the office with questions, ordering material and supplies, and handing out DEHS labels. Assists in maintaining the dosimetry program for research and hospital personnel as needed. Coordinate Radiation Safety Committee meetings and assist in writing minutes for the meeting. Assist with the Radiation Safety office general administrative and regulatory activities and support other administration office needs for all of DEHS such as answering the phones when transferred, maintaining Procard purchases and providing operational support as needed.
Essential Duties And Responsibilities
- DEHS administrative duties: Provides administrative and operational support to staff by fielding inquiries, submits registrations and renewals for facility and staff professional organizations, maintains the research community radioactive material inventory, updates staff calendars. Assists with purchases from stockroom, office supplies, and equipment. Provide operational support to DEHS office as needed. Reviews of the Radiation Safety Office (RSO) and DEHS service accounts daily. Distributes EOHM labels as requested by personnel on HSC. Assists the Administrative Supervisor in documenting receipts and backup for DEHS purchases.
- Regulatory DEHS Committees: Assists the Radiation Safety Officer/Manager in administration of the committee meetings, minutes, and documentation. This includes assisting in preparing the agenda and documentation for the meetings. Schedules meetings and acts as the secretary for minutes and documentation as required.
- Dosimetry badge program: orders, receives, distributes and updates records for all dosimetry badges. Ensures the RSO reviews reports by printing or downloading in the database, maintains all documentation on personnel applications, fetal badges, termination reports, and investigations performed by the RSO. Distributes reports as needed on a monthly, quarterly, and annual basis. Invoices and provides financial documentation to other departments as needed.
- Procard/OnBASE/Workday: Assists the Administrative Supervisor in maintaining documentation and receipts of Procard purchases for all of DEHS. Orders radioactive material for researchers and hospital as requested. Orders office supplies for HSC campus office. Invoices for radiation safety services as needed (i.e. dental school inspections). Processes requests for disbursement checks. Assists the Administrative Supervisor with and documents operational expenses. Invoices ULH facilities for registration payment reimbursement and keep documentation up to date.
- Regulatory documentation: Maintains research and medical authorized users and medical physicist applications, certifications, training, and approval documentation. Updates, archives, files and scans documentation required for radioactive material licenses, applications, and amendments as needed. Update renewals as needed for all authorized users. Documents archives, renewals and applications to the Radiation Safety Committee quarterly. Archives users' documentation as requested. Maintains radioactive material licenses, amendments, inspection documents, and state correspondence for 3 radioactive material licenses held by the University. Distributes, receives and maintains required personnel documentation requesting access to material on the increased controls quantity license. Maintains training schedules in DEHS database system and schedules classroom training as needed. Keeps DOT records up to date.
Preferred Qualifications
- 2 years of college, Associates Degree in Business.
- Proficient in MS Office Excel and Word.
This position must be able to pass background check as required to be granted enrollment to increase controls quantity of radioactive material.
Target Compensation Maximum:
$25.39Target Compensation Minimum:
$16.93Compensation will be commensurate to candidate experience.
