Job Summary/Basic Function:

Responsible to ensure readiness for cleanliness and facility needs. Manages aspects of infrastructure operations and maintenance. This includes developing, implementing and overseeing a preventative maintenance program. Contribute to sustainable development initiatives.

Department Overview:

Housing & Residence Life (HRL) is a department that accommodates approximately 3,000 students and staff across 10 on-campus living communities, which include traditional residence halls, suite-style, and apartment-style housing options. Our department is dedicated to supporting the academic and personal success of our residents. As we continue to grow and evolve, we aim to serve a broad range of students from across the region, including those from rural areas and those who are the first in their families to attend college.

Level Scope:

Provides immediate supervision to a unit or group of operational or technical employees. Sets and delegates day-to-day tasks to achieve operational objectives. A portion of time may be spent performing individual tasks related to the unit; however, supervisory activities must constitute a primary part of the job. Supervises unit operations to ensure compliance with departmental or campus policies, procedures, and defined internal controls. Problems typically involve a single area, process or constituent group. Ensures accountability and stewardship of campus resources (operational, financial, and human) in compliance with departmental standards and procedures.

Essential Functions:

60% of Time the Facilities Coordinator must:

  • In collaboration with the Facility Team Leads, schedule departmental work including but not limited to work orders, preventative maintenance, reactive maintenance, etc.
  • Identifies key stakeholders and coordinates necessary communication to keep them informed of facilities activities, projects, and timelines.
  • Collaborates closely with both internal departments and external vendors to ensure seamless operations and maintenance of facilities, fostering productive relationships and effective communication channels.
  • Participate in the hiring, managing and support of student staff and facilities team. Direct/in-direct supervision of full-time or part-time staff.
  • Ability to leverage technology to achieve performance goals and adapt to new technologies as needed.
  • Adhere to all Boise State University safety and risk management policies and procedures; reports all accidents and injuries in a timely manner and identifies and corrects unsafe work conditions with management oversight.

30% of the Time the Facilities Coordinator is:

  • Responsible for the expenditures for the HRL including but not limited to housing facilities. Oversee inventory and procurement processes, including procurement, tracking, and optimization of supplies and equipment, to ensure efficient operations and cost-effective maintenance of facilities.

10% of Time the Facilities Coordinator must perform:

  • Other duties as assigned by the supervisor. This includes but is not limited to at least 40 hours per year for full-time employees dedicated to helping with broad divisional or institution programs or initiatives that may be outside the department such as Move-In Day, Welcome Week, Parent & Family Weekend, Bronco Day, Commencement, or other special projects.
Knowledge, Skills, Abilities:
  • Knowledge of group dynamics, conflict resolution skills necessary for training, problem solving, etc.
  • Knowledge of facilities maintenance and custodial needs and services
  • Knowledge of construction and contracting processes
  • Proven ability to interact professionally with personnel from various backgrounds and work with conflicting priorities within the organization.
  • Effective communication skills with students, staff, faculty and campus administration
  • Ability to adapt to changing workplace technology
  • Highly organized, able to work effectively across organizational boundaries
  • Ability to develop technical documentation such as job recovery procedures and standard operating procedures to enhance departmental efficiency and clarify work.
Minimum Qualifications:

Bachelor’s Degree or equivalent experience
