United Way Miami, Inc. is hiring an Associate Director, Special Events to join our team. As an Associate Director, you will manage UWM’s Giving Community event activities including signature events and revenue generation opportunities. Manage auction and curation of auction lots that helps generate revenue for United Way’s work in education, health, and financial stability. Supports income-generating activities associated with events; seeks product donations with purpose to maximize net revenue from events.
Principal Duties And Responsibilities:
Leads the strategy, execution, and outcome analysis of all revenue generating events, initiatives and how they measure against financial goals.
- Supports the development and execution of special events and initiatives, taking lead on smaller-scale events as assigned.
- Plans and coordinates logistics for special events, including solicitation support, venue research, vendor coordination, audio/visual production, catering, transportation, onsite event management, and travel when necessary.
- Coordinates and conducts site visits with the Senior Director and maintains a centralized vendor and venue tracking system to support efficient planning and informed decision-making.
- Identifies and evaluates vendor options (caterers, AV, production, transportation, etc.) to ensure competitive pricing and quality service.
- Reviews and redlines vendor contracts, preparing for Senior Director review and approval.
- Assists with event budgets by tracking expenses, processing invoices, and preparing reconciliations.
- Supports event compliance by coordinating permits, insurance, and licenses, and ensuring adherence to organizational policies, ADA guidelines, and safety regulations.
- Collects and compiles post-event feedback, prepares outcome reports, and provides recommendations for continuous improvement.
- Manages volunteers for fundraising events, including recruitment via VolunteerMiami/UWConnect, assignment of roles, and facilitation of briefing meetings.
- Supervises and guides interns, providing assignments and support to enhance event operations.
- Serves as a liaison to staff, vendors, and volunteers for special/volunteer events and acts as point of contact when the Senior Director is unavailable.
- Collaborates with Marketing and Communications to develop event collateral (signage, digital assets, etc.) consistent with branding and messaging.
- Provides support for auctions and raffles through item solicitation, curation, and fulfillment, while researching vendors and platforms to optimize guest experience and cost efficiency.
- Advises on other organizational events that advance United Way’s mission.
- Works as a member of the Development team in support of our interdisciplinary and the organization.
- Performs other duties as assigned.
Requirements
Education Requirements: Bachelor’s degree or equivalent experience. Master’s degree a plus.
Experience Requirements: Three to six years’ experience in special event and program logistics; project facilitation a plus.
