Job Description

The work location of this role is hybrid, meaning it will be performed both from home and from a LinkedIn office on select days, as determined by the business needs of the team.
We are looking for an Executive Assistant to provide administrative and organizational support to the senior leaders of the APAC Talent Solutions leadership team. In this role, you’ll work directly with our Director and Senior Directors and will be responsible for a mix of administrative and operational activities. The ideal candidate will be proactive, organized, able to maintain strict confidentiality of corporate and personal information, and bring a blend of professionalism, passion and flexibility to the role.
Responsibilities:
- Plan, organize and manage executive calendar (resolve conflicts and protect / align time with priorities)
- Organize and ensure content preparedness for internal and external meetings and special events, including all hands, speaking engagements, customer events and team building
- Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction
- Anticipate critical rhythm of the business initiatives and manage changes effectively
- Coordinate all domestic and international travel arrangements
- Manage and reconcile expense reports, purchase orders and procurement requisitions in accordance with budget and department and company-wide policies and standards
- Collaborate closely with multiple internal key stakeholders to ensure the smooth daily operations
- Partner with communications and public relations teams and others on company-wide and external communications
- Provide back-up support for other executive assistants when needed and champion the admin community, such as partnering closely with Exec EA team to lead global Admin all hands meetings
- Proficiently answer, screen and route internal and external correspondence, requests, subpoenas and other communications
- Act as a point of contact with workplace services to meet facility needs for the team
- Take leadership role to improve structure, efficiency, and execution of the organization
- Drive changes in systems, tools and processes, and establish and share best practices
- Maintain an advanced degree of confidentiality along with excellent judgement, discretion and a high degree of maturity/professionalism
Qualifications
Basic Qualifications:
- 5+ years of experience working at a senior and/or executive administrative level with at least 5 years of experience supporting VP+
- Advanced knowledge of MS Office (Outlook, Word, PowerPoint, Excel) and familiarity with cloud-based applications (SharePoint)
Preferred Qualifications:
- Experience working as a trusted business partner to a c-suite level executive
- Thrives in a fast-paced, demanding environment and demonstrate ability to manage time, prioritize tasks and work within deadlines
- High operational ability to execute quickly with strong attention to detail and accuracy
- Excellent communication (written and verbal), analytical and organizational skills
- Ability to professionally interact with senior leaders and external stakeholders, and anticipate their needs while taking action independently
- Demonstrates ability to be proactive, take initiative, and exercise good judgment, discretion and confidentiality in all tasks
- Consistently able to solve complex problems after in-depth evaluation of variable factors through resourcefulness, adaptability, and creativity
- Collaborative spirit with ability to act as a team culture steward and build relationships, mentor and work effectively across Exec Admin team at LinkedIn
- Demonstrates excellent understanding of how an organization operates across functions
- Demonstrates ability in utilizing social media for brand or talent engagement, with basic competency in video editing for digital content support.
- Ability to set up and manage virtual meetings via MS Teams and Zoom
