Job Purpose:

The Contract Administrator is responsible for coordinating the contract, ensuring contracts align with business objectives. This includes tasks like expediting contracts through the approvals process, ultimately aiming to increase deal speed.

Task & Responsibilities:

Contract Lifecycle Management

  • Coordinate the end-to-end commercial contract administration process, including, and ensuring completion of various types of agreements such as client contracts, NDAs, operative annexes and fees.
  • Gather all the information relevant and necessary for a contract draft.
  • Review client to identify commercial and operational risks.
  • Manage the validation and contract signature process to ensure speed of execution.

Cross-Functional Collaboration & Stakeholder Engagement

  • Act as a liaison between Legal, Business Development, Operations, Quality, Finance, IT, and Strategy teams to gather input and ensure contracts align with internal requirements and external obligations.
  • Facilitate the timely collection of internal feedback and approvals, driving accountability and maintaining momentum throughout the contracting process.

Compliance & Risk Management

  • Monitor compliance with contract terms and conditions post-signature, including renewal dates, obligations tracking, and issue escalation procedures.
  • Maintain accurate records and audit trails of contractual activity in accordance with company SOPs and regulatory requirements such as GxP, GDP, Privacy or ISO standards, as applicable.

Process Optimization & Reporting

  • Continuously improve internal contract management processes, workflows, and systems to support efficiency, scalability, and service quality.
  • Develop, track, and report on key performance indicators (KPIs) related to contract lifecycle performance (e.g., cycle time, bottlenecks, compliance rates).
  • Contribute to system enhancements for contract lifecycle management tools or databases, ensuring fit-for-purpose contract repositories and dashboards if applicable.

Other Responsibilities

  • Perform other duties and projects as assigned, contributing to the broader goals of function and business operations.

Qualifications & Skills Required:

  • Bachelor’s degree in business administration, finance or related field preferred. Equivalent experience also valid.
  • 3+ years of prime contract administration experience is required
  • Thorough knowledge of industry business practices and is strongly familiar with the process of negotiation of prime client contracts.
  • Ability to demonstrate sound judgment even in ambiguous situations
  • Ability to work independently while being able to contribute successfully to cross-functional teams
  • Excellent organizational skills, ability to manage multiple projects at once, follow through, and meet deadlines.
  • Strong written and oral communication skills, excellent interpersonal skills
  • Working knowledge of PC software packages typically associated with contract administration.
  • English native or to mother tongue standard. Advanced level of Spanish.
  • Experience in Life Sciences services or logistics preferred.
