Lilly is currently constructing an advanced manufacturing facility for production of API molecules.  This facility is intended to provide APIs for current and future products, including new modalities.  This is a unique opportunity to be a part of the startup of a greenfield manufacturing site.   

Position Overview:

The Administrative Assistant is responsible for providing administrative support to the API Plant.

Responsibilities:

  • Facilitate internal and external communications, including preparing presentations and meeting minutes.
  • Respond to customer inquiries and requests.
  • Manage leaders’ calendars, scheduling both ad hoc and recurring meetings, often coordinating with other departments.
  • Maintain shared information systems, including monthly metrics and reports.
  • Keep organizational charts current and ensure delivery to QA/library.
  • Process accounts payable invoices and distribute incoming mail.
  • Coordinate employee office moves and maintain office equipment.
  • Perform general administrative tasks such as faxing, photocopying, and ordering supplies.
  • Support travel arrangements and meeting logistics.
  • Act as a liaison for computer and software support.
  • Serve as backup for other administrative staff.
  • Participate in area-specific administrative projects.

Basic Requirements:

  • High School Diploma 
  • 2+ years of administrative support experience 

Additional Preferences:

  • Experience supporting executives.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities independently.
  • Effective written and verbal communication across all levels.
  • Problem-solving and troubleshooting capabilities.
