This position exists to provide Customized Training Services (CTS) registration processing and support ensuring students are enrolled properly and correct information is provided to customers; as well as creation and maintenance of assigned course scheduling in the student records system. Develop proficiency with current CTC data and communication systems (Salesforce, rST, ISRS) and new/ emerging systems. Provide welcoming, prompt and effective customer communications.
PRINCIPLE RESPONSIBILITIES AND RESULTS
1. Provide Customized Training Services (CTS) registration processing and support ensuring students are enrolled properly and correct information is provided to customers.
Priority: Essential Percent of Time: 50%
2. Creation and maintenance of course scheduling for assigned areas to ensure courses are listed correctly, information is given to the appropriate people, cancelations of courses are processed and refunds are given in a timely manner.
Priority: Essential Percent of Time: 35%
3. Perform a variety of clerical duties which support open enrollment and contract classes. Cross train with other office roles to ensure uninterrupted execution of work and services to clients and students.
Priority: Essential Percent of Time: 10%
4. Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.
Priority: Secondary Percent of Time: 5%
Salary Range:
$20.76 ($43,347) - $29.22 ($61,011)
Minimum Qualifications
- Data Entry: Skill in data entry sufficient to maintain accurate student records and reports; compile, sort and verify data accuracy
- Three (3) years of customer service. Including prompt, courteous and accurate information to customers in person, on the phone and through email and other written correspondence; respond to customer/co-worker inquiries about registrations, programs, data, provide assistance/guidance to customers/co-workers on resolving difficult or complex issues.
- Skill in word processing sufficient to use software, such as Microsoft Word, to prepare and format letters, memos and reports and ability to check completed work for spelling, grammar, punctuation, and formatting.
- Skill in using spreadsheet software applications, such as Microsoft Excel, Access, to enter, compile, store and retrieve data in a variety of reports.
- One (1) year of experience reviewing budgets, sales receipts and ability to calculate registration fees using a calculator.
- One (1) year experience in customer service involving sales or retail sales.
Preferred Qualification
- Knowledge of policies and procedures of the college/customized training, especially related to registration for all hour-based courses.
- Ability to gain acceptance for ideas in order to accomplish tasks.
- Knowledge of ISRS, rST, or Salesforce systems and various software programs.
- Ability to learn new systems and programs as the college transitions to new Products.
- Skills in communications and interpersonal relations sufficient to provide information to staff, students and the general public.
- Highly organized and detail-oriented to maintain integrity in the student information system.
- Ability to work with others in a team setting to accomplish tasks.
- Ability to establish work priorities and insure completion.
