The Opportunity
As an Assistant Operations Manager, you will be an integral member of the hospital management team. Working closely with the Hospital Manager and Managing Veterinarian, you will support the hospital’s day-to-day operations, ensuring efficiency, profitability, and the highest standards of patient care and client service. This role provides hands-on leadership and operational oversight while helping to foster a collaborative and supportive team environment. Consistent on-site presence is required to engage effectively with staff, patients, and clients.

Key Responsibilities

Leadership & Planning

  • Partner with the Hospital Manager in daily operations, staffing, and workflow management.
  • Assist with hospital scheduling and labor cost management to meet financial goals.
  • Help establish and track hospital goals, performance metrics, and staff objectives.
  • Champion change by supporting process improvements and sharing best practices.

Operations & Compliance

  • Support the development and implementation of hospital policies, including DEA/Controlled Substances and OSHA compliance.
  • Oversee hospital inventory management, collaborating with the inventory manager to control costs.
  • Ensure accuracy and quality of client records through regular audits and file reviews.
  • Monitor hospital systems and coordinate with IT support to resolve issues quickly.

People Management

  • Assist with recruiting, onboarding, and training new staff.
  • Provide coaching, recognition, and day-to-day support to employees.
  • Partner with leadership to address performance issues and employee concerns.
  • Help maintain a positive, engaged, and team-oriented hospital culture.

Client Service

  • Lead by example in delivering an exceptional client experience.
  • Resolve escalated client concerns with professionalism and timely follow-up.
  • Collaborate with the front desk team to strengthen client communications and interactions.
  • Support community outreach and local marketing initiatives to drive client engagement.

Financial & Administrative

  • Assist with payroll processing and employee timekeeping.
  • Help manage accounts receivable, cash handling, and invoice accuracy.
  • Contribute to financial reporting and budget oversight.
  • Identify opportunities to improve efficiency and control operational costs.

Qualifications

  • Bachelor’s degree in business, healthcare administration, or related field preferred.
  • 2–4 years of management or supervisory experience, preferably in a veterinary, medical, or hospital setting.
  • Strong leadership, communication, and problem-solving skills.
  • Knowledge of budgeting, labor management, and operational workflows.
  • Customer service background with proven ability to resolve client concerns.
