What You’Ll Be Doing:

  • Coordinating logistics, schedules, and meetings for the Site Manager and local managers, ensuring seamless daily operations.
  • Serving as the local point of contact with Human Resources and Finance for all administrative processes, including onboarding, offboarding, timesheets, and utilization reports.
  • Managing vendor relationships for facility services such as cleaning, maintenance, cafeteria, and pest control, and ensuring compliance with invoicing requirements.
  • Supporting the planning and execution of site events, including Wellness Month, Synopsys for Good activities, and other internal initiatives.
  • Coordinating with external authorities to secure permits, licenses, and meet municipal requirements for site operations.
  • Assisting employees with a variety of administrative requests, including travel arrangements, reimbursements, benefits inquiries, and office supply needs.
  • Overseeing site resources and facilities, including meeting rooms, cafeteria, and office supplies, to optimize the employee experience.
  • Preparing and delivering periodic administrative reports to the Site Manager, providing actionable insights for site management.

What You’Ll Need:

  • Bachelor’s degree in Administration, Business, Accounting, or a related field; or equivalent proven experience in administrative coordination.
  • 4–8 years of relevant experience in administrative or office coordination roles.
  • Intermediate to advanced English proficiency, both written and spoken, for effective communication in a multicultural environment.
  • Advanced proficiency in Microsoft Office (Excel, Outlook, Teams) to manage schedules, documentation, and reporting.
  • Experience with SAP/Ariba or similar enterprise systems is a strong plus.
