Under minimal supervision, responds to questions in the area of benefits and leaves. Responsible for administering, processing and supporting employee leave programs, including Family Medical Leave, short- and long-term disability, personal leave, paid family leave, military leave and other statutory or company-sponsored leaves. Works in partnership with third party administrator for leave and accommodation activities. Ensures compliance with federal, state, and local regulations, and internal policies, while providing guidance and support to employees and managers throughout the leave lifecycle. This professional support includes low to high level of complexity with an escalated degree of resolution capability. Performs research, analysis and recommends process optimizations.
- Serve as the primary point of contact throughout the leave lifecycle for human resources, employees and managers regarding leave eligibility, documentation, and return-to-work procedures.
- Provide administrative support to ensure all practices are in compliance with regulatory requirements. This includes research, analysis and preparation of statistical reports for legally mandated compliance including FMLA, ADA, and other applicable laws and internal policies and procedures, etc.
- Assists in preparing, compiling and distributing written compliance procedures. Updates the HR Toolkits, policies and procedures. Coordinate with third-party administrators to ensure timely and accurate processing of leave claims. Maintain accurate records of leave status, documentation, and return-to-work dates in HRIS and vendor systems as well as coordinating the use of paid leave with employee and manager.
- Provide superior real-time assistance through various channels to employees and outside parties regarding HR related questions. Resolves customer problems by researching issues and taking appropriate actions as required. Ensures answers align with company policies, procedures, plans and regulations; however, interpretation of said policies and procedures may be required.
- Collaborate with HR, Payroll, and Legal teams to ensure proper pay, benefits continuation, and job protection during leave periods. Identify and implement process improvements to help optimize workflow and improve customer experience. Educate employees and managers on leave policies and procedures, including documentation requirements and timelines Process benefits enrollments, changes, terminations, and maintain related records.
- Assist employees with and resolve employee benefit issues, answer benefits related questions. Track benefit arrears, send monthly arrears letters, and process benefit arrears payments. Assist with new employee orientation and annual benefit open enrollment. Update the HR Service Center knowledgebase, archives obsolete documents and materials. Support audits, reporting, and policy updates related to leave programs.
- Bachelors degree in Human Resource Management or related field required. Equivalent experience may be a consideration
- 3-5 years experience in Customer Service/HR role required, knowledge of HRIS preferred. 2 years Leave of Absence Administration or related preferred
- Knowledge - Exceptional knowledge of HR principals such as benefits, compliance regulations, etc. Knowledge of Kronos and Oracle preferred as well as, company policies. Proficient in Windows-based computer environment (Work, Excel, PowerPoint, and Outlook).
- Skills - Exceptional customer service skills including handling unfavorable and escalated situations. Must have excellent communication skills both written and verbal; effective organizational and administrative expertise with strong attention to detail. Possesses sound analytical skills and can meet reporting/data entry deadlines.
- Abilities - Ability to root cause calls, anticipates issues and provides resolutions. Demonstrates maturity, professionalism, and ability to interact effectively with internal and external customers, sensitivity and discretion in handling confidential information of participants and departmental employees. Capable of identifying and providing continuous improvement solutions
