Position: Membership Registration Senior Coordinator
Contract Type: Indefinite, Full Time

Job Summary
The Membership Registration Senior Coordinator is responsible for providing membership admission and registration support for two professional bodies (CPABC and CPA Yukon) along with a range of administrative support to the Membership department and its stakeholders. This role is responsible for helping to ensure that only qualified, approved applicants are admitted into membership; and is critical for ensuring that service standards and key deliverables are met in a timely and efficient manner, while contributing to the overall success of the department through collaboration and teamwork.
Key Responsibilities:
Membership Admissions (40%)
- Respond to inquiries from applicants to provide guidance on admission to membership;
- Review and process membership applications from various admission pathways (including CPAs from other Provincial Territorial Bodies or former members applying for readmission);
- Review and evaluate documents to verify if applicants meet the admission requirements set by CPABC and recommend acceptance to membership of applicants who meet all admission criteria;
- Gather and organize additional documentation to support the Director, Membership on complex applications as required;
- For applications that are either incomplete or do not meet all admission criteria, follow-up with the appropriate person(s) to resolve the deficiencies in the manner appropriate;
- Verify that any information collected from third parties is current and accurate, ensuring that all data fields are populated accurately in the member database (iMIS);
- Create, update and maintain protocols, processes and administration manuals for the membership admissions process while contributing to the continuous improvement and enhancement initiatives of the department; and
- Ensure applications are processed in a timely matter.
Readmission of Former Members (20%)
- In addition to the above, advise former members of additional readmission requirements (i.e. CPD, readmission fees, etc.);
- Review readmission applications and contact references; and
- Advise applicants of determinations by Membership Committee.
Membership Cancellations (10%)
- Analyze and process applications for voluntary cancellation;
- Respond to inquiries to members enquiring about voluntary cancellation;
- Advise members of implications when resigning membership, including how to apply for readmission; and
- Follow-up with former members to ensure the return of CPABC, and legacy if applicable, membership certificates.
Membership Administration and Support (20%)
- Process requests for legacy CGA and CMA transcripts in a timely manner;
- Update and maintain membership-related webpages on CPABC website as requested;
- Work collaboratively with the Member Registration team, CPA Canada and provincial CPA bodies pertaining to admission applications; and
- Other duties and responsibilities in Membership Regulation as required from time to time including assisting with membership applications through other pathways during peak times.
Department Administration & Ad-Hoc Responsibilities (10%)
- Work with IT and other departments to ensure accuracy of the member database;
- Provide input and recommendations to improving the website and database; and
- Actively participate in any departmental new or enhancement initiatives;
- And other duties and responsibilities as may be assigned from time to time.
Key Requirements:
- Three (3) plus years of experience in a Coordinator, Administrator, or Membership Management capacity, or a related field;
- Sound problem solving and critical thinking skills;
- Highly refined attention to detail with advanced analytical skills;
- Comfort in dealing with ambiguity and complex information;
- Excellent interpersonal skills with a proven ability to develop collaborative partnerships;
- Ability to work collaboratively as a member of a team and independently with minimal supervision;
- A high degree of tact, diplomacy, and professionalism;
- Ability to maintain privacy of applicants and members, and handle confidential information with discretion and integrity;
- Ability to communicate with applicants and members regarding sensitive matters including extenuating circumstances;
- Proven ability to prioritize competing requirements and deadlines under pressure;
- Refined organizational and time management skills with the ability to multi-task;
- Intermediate proficiency with MS Office and Adobe, in particular Word, Excel, Outlook, PowerPoint and Acrobat Professional.
Preferred Experience
- Post-secondary degree or diploma in Business Administration or a related discipline would be an asset.
- Previous experience with a member database (e.g. iMIS).
The starting annual salary for this position is between $59,400 and $70,537 per annum, based on candidates’ qualifications, experience, and internal parity. Exceptions may be considered with further review.
