The Microsoft Defender team stands at the forefront of cybersecurity, delivering industry-leading capabilities in threat prevention, detection, and response. With protection extending to over a billion devices worldwide, this team plays a vital role in safeguarding digital assets on a global scale. We are seeking a highly experienced Executive Business Administrator to provide critical support to the Corporate Vice President (CVP), Jason Weber, and his global leadership team. This is an opportunity to play a pivotal role in enabling one of Microsoft’s most senior and impactful security organizations to operate with precision, clarity, and excellence. 

As the Executive Business Administrator, you will be the operational backbone for a globally distributed, deeply technical, and highly senior leadership team. You will partner closely with the CVP and leadership to ensure the business runs smoothly across communications, team operations, and executive priorities. This role requires an experienced professional who thrives in complex environments, can anticipate needs, and consistently delivers with discretion, judgment, and professionalism.

This Flexible Work position is located at our Microsoft office in Redmond, Washington. Relocation support will be provided, and successful candidates will need to relocate or reside within 50 miles of the field location. 

Responsibilities

  • Provide high-level administrative support to the CVP, including proactive calendar and schedule management, travel coordination, and executive communications. 
  • Support the extended leadership team effectiveness across time zones, ensuring alignment on critical business priorities and seamless execution of the rhythm of business (ROB). 
  • Manage complex headcount, budget, and space planning processes in partnership with finance and business operations teams. 
  • Serve as a trusted connector across the organization, reinforcing Microsoft’s culture and values. 
  • Anticipate challenges, remove barriers, and enable the CVP and leadership team to focus on high-impact decisions. 
  • Partners with Global Talent Acquisition and hiring managers on recruitment and onboarding. Ensures smooth processes for new hires, interns, and executive onboarding. 
  • Plans and executes team events, driving alignment on goals, logistics, and outcomes. Leverages resources to deliver efficient, high-quality experiences. 
  • Oversees purchase orders, expenses, and compliance with Microsoft policies. Acts as interim approver when needed. 
  • Leads office space management and planning, from desk assignments to large-scale restacks and buildouts, ensuring alignment with organizational needs. 
  • Actively contributes to the Business Support community by mentoring peers and sharing best practices.

Qualifications

Required/minimum qualifications
  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management
  • 5+ years experience supporting Director, CVP, and Executive-level leaders within a globally distributed team.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training) 
  • Experience collaborating with a highly geo-diverse team across multiple time zones.
  • OR equivalent experience 

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:  

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud Background Check upon hire/transfer and every two years thereafter.

Additional or preferred qualifications

  • 10+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management
  • 10+ years experience supporting Director, CVP, and Executive-level leaders within a globally distributed team.
  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
  • 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
  • 2+ years experience serving as mentor to others
  • OR equivalent experience

Executive Business Administrator ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
