Title: Associate Director for Center Operations

Position Purpose:

This position is responsible for assisting the HCCP Director and staff in all aspects of the center’s operations, including: planning, implementing, and coordinating the center’s office systems and administrative functions; building collaborative relationships with constituents in the college and the local community; communicating the center’s mission and work to internal and external constituents; developing and administering the center’s budgets; coordinating the center’s communications; and overseeing documentation about the center’s work.

The Associate Director will be expected to have lead responsibilities in all of these areas, including budget planning and oversight, communications planning and oversight, administration, and documentation. The Associate Director will also provide technical and workflow support for a range of other projects and partnerships undertaken by the center.

Job Duties:

  • Administer and oversee the day-to-day work of the center, serving as the key liaison for the center to the campus and local communities; providing direct management of the center’s budget; planning, overseeing, and directing the center’s communications strategy with other staff, including web, electronic, social, and print media; creating and managing office processes for center programming, including preparation for bi-weekly staff meetings, maintaining and ordering supplies, and managing the center’s various online accounts.
  • Provide budgetary oversight for the center, preparing the Harward Center budget; providing administrative oversight for the processing of fiscal matters handled by the office; developing and implementing a system to track and review center budgets; developing and implementing a system to track the use of grant funds and other center-based financial support; assisting the Director with grant processing and reporting; and managing the use of the departmental credit card and regularly rectifying charges on the web-based reporting system.
  • Coordinate center publicity, communications, and documentation, overseeing and integrating staff work on key documentation and communications efforts, including the Annual Report, bi-weekly blog, and the documentation of center work for national recognition; overseeing and updating the center’s website; and providing day-to-day support as needed to the Director and staff of the Harward Center including, but not limited to scheduling, processing print and electronic communications, and web updates.
  • Oversee current technology systems in use within the office and college (Banner, Cloud Carousel, WordPress, CommunityPulse, etc.), providing recommendations to streamline processes that result in increased efficiency and effectiveness for all users; identifying areas to improve the efficiency of current technology; identifying new technology needs and opportunities to increase the overall office proficiency; providing counsel on the choice of IT platforms; and acting as the secondary lead on CommunityPulse, the center’s volunteer tracking system.
  • Assist the Director and center staff in all aspects of programming and oversee the administrative processes for various fellowship programs, including but not limited to Community Outreach Fellows, Bonner Leaders, Community-Engaged Research Fellows, and Bates Votes Fellows, including planning and payroll.
  • Coordinate the implementation of end-of-term surveys for students, faculty, and community partners involved in community-engaged work.
  • Collaborate with the Associate Director for Community-Engaged Learning to make fieldwork placements in local schools and after-school programs for students taking Education courses.
  • Administer the Projects for Peace and Davis Alumni Award programs on behalf of the college, chairing the selection committee and overseeing the recruitment, publicity, selection, and implementation processes for both programs.
  • Serve as the co-chair for the college's Community Giving Campaign, working closely with Human Resources to recruit faculty and staff for the planning committee, and publicizing and implementing the college’s annual appeal to college employees to support local causes through payroll deduction.
  • Coordinate the Harward Center’s involvement in special events on campus and within the larger local community, including managing and supporting the administrative activities for the center’s annual awards celebration, Halloween trick-or-treat event, orientation programming, etc.

Minimum Qualifications:

Education

Bachelor’S Degree Preferred.

Experience

  • At least 3 years of experience in office administration.
  • 5 + years of experience in related fields preferred.
  • Demonstrated experience in project management, budget oversight, event planning, and communications.
  • Experience with supervision of student workers, volunteers, or staff preferred.
