As our Administrative Assistant / Creative Resource Co-ordinator, you will report to the Executive Director, Creative Operations. You will work closely with our creative operations team as well as all our teams to support them in delivering award-winning work for our clients.
Position Summary
The Administrative Assistant / Creative Resource Co-ordinator will play a key role in supporting the agency. The ideal candidate will be resourceful, have strong attention to detail, anticipate needs from our creative leaders, and ensure seamless communication across all levels at Z.A.K.
Key Responsibilities
- Strategic Calendar and Time Management: Proactively manage calendars for multiple creative leads, anticipating their needs and protecting their time for creative direction and strategic thinking.
- Creative Resourcing Support: Assist in scheduling and assigning creative resources to client projects,when required.
- Travel Coordination: Support creative leads with travel planning as needed, while remaining responsive to last-minute adjustments.
- Confidentiality and Discretion: Handle sensitive information and client insights with the utmost confidentiality and professionalism.
- Culture and Team Support: Bring your positive energy to the team by showing up with empathy, flexibility, and a strong commitment to helping creative minds thrive.
Qualifications (Skills, Aptitudes, And Experience)
- 2+ years of experience in an Administrative Assistant focused role
- Experience supporting senior leadership, especially in a creative environment
- Previous experience within an Advertising Agency is an asset
- High level Communication and Interpersonal Skills
- High level Time Management and Organizational skills
- Attention to detail and ability to take direction from multiple sources
- High degree of composure with the ability to problem solve quickly and efficiently
- Proficient in Microsoft Office

Salary range for this role is $60,000 - $80,000.
