Responsibilities:

  • Manage and professionally develop a facilities team to effectively and efficiently oversee our headquarters in Utah and four satellite offices (Raleigh, Amsterdam, Hamburg, Melbourne)
  • Organize and oversee office moves, setup, and refurbishments
  • Lead real estate lease management
  • Manage all facilities documentation, including contracts, warranties, tracking, permits, etc.
  • Develop and manage the facilities budget, including tracking expenses and identifying cost-saving opportunities; partner with Finance team on capital expenditure planning
  • Proactively gather and leverage data to build business cases for budget, process or space changes, and positive or negative impacts to facility offerings
  • Prepare and present regular reports on facilities operations, maintenance, and expenditures  
  • Oversee office management, including daily office operations, vendor management, and maintenance
  • Maintain high standards for efficiency and cleanliness, and partner with landlords and service vendors to ensure those standards are met
  • Manage relationships with external vendors and service providers (e.g. food service, cleaning services, furniture, etc.) and monitor service levels to ensure quality and cost-effectiveness
  • Oversee and audit badge and building-related access
  • Gather requirements from all stakeholders to ensure that the office meets the needs of the business, balance competing priorities, find creative solutions, and communicate with all stakeholders
  • Oversee and execute smaller in-office company events, including but not limited to assisting with the setup and takedown of chairs, tables, and catering
  • Ensure compliance with health, safety, and environmental regulations

Requirements:

  • 7+ years experience in facilities management or similar role
  • Experience building and developing a team of facilities professionals 
  • Experience delivering significant projects, both in size and cost, on time and within budget
  • Proven experience in vendor and landlord management, budgeting, and contract negotiation
  • Excellent organizational, communication, and problem-solving skills 
  • Knowledge of basic accounting and finance principles

Preferred Qualifications:

  • Certification in facilities management (e.g. IFMA CFM) or related certifications
  • Experience with office design and layout planning
  • Familiarity with sustainability practices
