Four Seasons Hotel Madrid is currently seeking a passionate and dynamic Associate Director of Catering Sales to join the team! reporting to the Director of Marketing, this is an Assistant Department Head role. The Associate Director of Catering Sales is responsible for driving catering revenue growth and ensuring flawless event execution by actively prospecting and managing client relationships, supervising and developing the catering sales team, and collaborating with other hotel departments to deliver exceptional guest experiences.
What you will do
- Actively prospect and solicit, develop, and maintain local corporate catering accounts through telephone, personal sales calls, trade shows, and on-site entertainment. Finalize the requirements of personally booked catering events while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event.
- Supervision of the Catering Sales staff in their day-to-day roles. Including maintaining and monitoring the accuracy and effectiveness of all written communications. These include but are not limited to: Banquet Event Orders, Resumes, Daily Events Report, Golden S&C Input Standards, and Guest at Leisure Reports.
- Finalize the requirements of personally booked or assigned Event bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event.
- In collaboration with the Director of Conference Services, prepare with analysis the weekly 2-Month financial forecast, month end financial summaries, and contribute to the annual Marketing Plan and Budget.
- Complete periodic audits of the Account and Booking Data in Golden S&C, to include but not exclusive to Conflict Report, Account Traces, Post Conference Reports.
- Evaluate current sales / service practices and make recommendations to maximize the profitability of the Events resources.
- Develop single Event P&L for major on-site events.
- Oversee the quarterly administration and seek new ways to motivate and maximize revenues.
- Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.
- Supervise the execution of banquet events. Review all function space with banquet manager and when necessary head house attendant. Ensure satisfaction of client at the outset of all events.
- Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel. Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep the Director of Marketing and Planning Committee promptly and fully informed of all problems or unusual matters so prompt corrective action can be taken where appropriate.
- Drive Qualtrics responses and lead social and corporate event satisfaction.
- Monitor Meetings and Events website and take ownership of content and 3rd Party listings for corporate and social business.
- Actively participate as Catering representative in strategy meetings and lead catering pipeline meetings weekly.
- Understand lead volume by source and promotional efforts in place to increase leads.
- Set up and drive pre-con and post con interviews with focus on repeat business and P2P.
- Attend revenue management/forecast/strategy meetings.
- Shadow DOM in annual goal setting process and incentive reconciliation; prepare goal suggestion and review with DOM.
- Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.
- Work with culinary team to create and/or revise banquet menus, including pricing and best in class product offering.
- Prepare / plan / organize and execute promotion initiatives such as corporate planner days / wedding planner events.
- Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Morning Event Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Bi-Monthly Board of Operations, Planning Visits, and Menu Tastings.
- Together with the Director of Marketing / Sales / F&B review and understand segmentation and specific needs of social and corporate meeting customers and continuously develop current offerings.
- In collaboration with the Director of Conference Service / the Director of Marketing and the Director of Finance manage all 3rd party contracts related to Catering & Events, ensuring superior product and service quality while maintaining Four Seasons Standards.
- Conduct performance evaluations and mentor, Catering Sales Managers / Executives and Coordinators to develop and prepare team members for future promotion and possible transfer within Four Seasons.
- Facilitate and monitor training, recommend the hiring, terminating, or disciplining of any Catering employee.
- Respond according to the crisis management plan to any resort emergency or safety situation.
- Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and planning committee.
What You Bring
- A minimum of five years’ experience in Catering / Event Sales.
- A (4) year college/university degree (or equivalent).
- Great personal and business references required.
- Excellent communication skills and a strong, innovative mindset.
