This position involves extensive use of technology across multiple platforms, including the full Microsoft Office Suite—Word, Excel, PowerPoint—and Power BI.

The primary purpose of this position is to apply sound accounting principles, strong organizational skills, and technical expertise to a range of financial support functions. You’ll play a key role in ensuring the agency remains in full compliance with applicable policies, regulations, and laws.

This position works in close collaboration with the OFS Office Administrator, contributing to the smooth and efficient daily operations of the office. Your work will directly support budgeting, reporting, procurement, and financial recordkeeping—making you an essential part of our success.

We are seeking a committed Administrative Specialist 2 to provide Financial Administrative Support at the Office of Financial Services in Salem, Oregon.

Summary Of Duties

As a Financial Administrative Support, you will:  

Provide administrative support to Office of Financial Services (OFS) management and executive teams, including:

  • Scheduling meetings and appointments
  • Coordinating daily office operations
  • Assisting with special projects and initiatives

Serve as backup to the Office Administrator by:

  • Maintaining continuity of general office functions
  • Processing non-SFMA system security requests

Vendor/Ach Set-Up Responsibilities:

  • Oversee the vendor and ACH set-up process to ensure accuracy and compliance
  • Review workflows and recommend improvements to enhance efficiency and documentation of processes and metrics

Document Management

  • Assist, as needed, with OFS financial document management including uploading and reviewing documents in Laserfiche.
  • Assists managers and staff with document retrieval as needed.

Minimum Qualifications

  • Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
  • An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR
  • An equivalent combination of education and experience.

  • Proven experience utilizing a wide range of technology platforms, including Microsoft Office Suite (Word, Excel, PowerPoint) and Power BI.
  • Experience ensuring accuracy in financial data, documentation, and system entries.
  • Demonstrated experience managing shifting priorities, changing workloads, and transitioning between job functions based on operational demands.
  • Demonstrated experience providing clear, professional support to internal teams and external vendors, ensuring effective collaboration and resolution of inquiries.
  • Demonstrated experience in identifying operational or system-related issues and contributing to effective solutions and process enhancements.
  • Demonstrated experience working effectively both independently and within team environments to achieve shared goals and support organizational success.
  • Demonstrated experience managing sensitive financial and personnel information with discretion, professionalism, and adherence to privacy standards.

Working Conditions

  • Work Locations: Oregon Department of Human Services, Office of Financial Services – Controller’s Office, 500 Summer St NE, Salem, OR 97301.
  • Hybrid Work Options: Position may be performed in-person or in a hybrid format following the training period. Hybrid schedules typically include at least one in-office day per week, as determined by operational needs.
  • Work Schedule: Standard workweek with flexible hours available between 6:00 AM and 6:00 PM. Final schedule will be determined in coordination with the manager based on operational needs.
