Senior Executive Assistant
We are looking for a Senior Executive Assistant to support various leaders within our Onboarding Services team. In this role, the Senior Executive Assistant will perform administrative duties while collaborating with divisional leaders and other executive assistants to prioritize business and administrative service's needs. This individual is expected to manage work that is often sensitive and confidential in nature while providing a comprehensive range of support services to ensure the overall efficiency for individuals at the Executive level.
Job Responsibilities
- Manages extremely active calendars, providing total administrative and scheduling support.
- Coordinates prioritization of leader’s time to ensure their time is effectively allocated.
- Arranges complex and detailed travel plans, itineraries, and agendas.
- Researches, prioritizes, and follows up on incoming issues, questions, and concerns.
- Provides a bridge for smooth communication, maintaining credibility, trust and support with leaders and other Executive Assistants.
- Demonstrates appropriate levels of discretion in decision making matters related to and on behalf of their leaders.
- Manages expense reports within Oracle.
- Invoice and purchase order management.
- Prepares reports and creates documents including PowerPoint presentations, both formatting and adding content.
- Communicates frequently with stakeholders on open items owed to and by internal and external constituencies.
- Assists team members, including on-boarding and training other members of the EA team.
- Organizes retreats, off-sites, meetings, and other department-related projects and events.
- Attends key meetings, organizing an agenda, capturing follow-up tasks, and keeping tasks current.
- Assists with special projects and ad hoc assignments, as determined by their leader(s).
Typical Qualifications
- Associates Degree preferred or commensurate experience in an administrative role required.
- 5+ years of Executive Assistant or project coordination experience in a corporate setting.
- Proficient in the full Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint.
- Demonstrate a high degree of customer service and relationship building abilities.
- Ability to prioritize and to multi-task in a fast-paced environment.
- Ability to work well in a team environment across geographies.
Excellent Organizational Skills.
- Strong written and verbal communications skills.
- Basic project management skills.
- Ability to work independently as well as part of an extended, cross-functional team.
- Ability to act as a model athenista (emotionally intelligent, dedicated, passionate, intellectually curious, fun, etc.).
