Job Description:
The Wellbeing & Benefits Administrator is responsible for the daily administration of VACU’s comprehensive employee wellbeing and benefits programs. This includes physical, social, financial, community, and career wellbeing initiatives, as well as group health, disability and life insurance, Flexible Spending Accounts (FSAs), Health Savings Accounts (HSAs), Family Medical Leave (FMLA), and Workers’ Compensation. The role ensures compliance with all applicable federal and state regulations and supports VACU’s commitment to fostering a healthy, engaged, and resilient workforce.
Job Duties And Responsibilities:
- Work with Total Rewards Manager to design, implement, and manage a holistic wellbeing strategy encompassing physical, emotional, financial, social, and career dimensions.
- Coordinate and execute onsite and virtual wellbeing events, including classes, seminars, guest speakers, and fitness assessments.
- Develop and execute internal campaigns to promote wellbeing initiatives across the organization.
- Monitor program effectiveness through data collection, attendance tracking, and feedback analysis; prepare detailed evaluation reports.
- Collaborate with Benefits Administrators to manage day-to-day operations of all employee benefit programs.
- Serve as a primary point of contact for employee inquiries regarding benefits and wellbeing offerings, providing guidance and support.
- Ensure accurate and timely communication of benefit changes and wellbeing incentives during payroll processing.
- Support annual benefits renewal process, including HRIS audits (Workday), review of benefit materials, development of open enrollment communications, and facilitation of enrollment meetings.
- Maintain up-to-date knowledge of and ensure compliance with relevant regulations including Section 125, COBRA, HIPAA, and FMLA.
- Manage reporting and processing of work-related injuries and workers’ compensation claims.
- Coordinate with carriers on lost-time injuries and return-to-work procedures.
- Counsel employees on leave policies and procedures, ensuring timely submission of medical documentation and claims.
- Update wellbeing and benefits content on internal platforms (e.g., VACUZone) in coordination with the Total Rewards Team.
- Perform additional HR duties as assigned, contributing to broader departmental initiatives.
- Adhere to all enterprise-level policies including Risk Management, BSA, OFAC, and Information Security.
- Complete all required ongoing training and report any policy violations in accordance with established procedures.
Knowledge & Experience
- Strong understanding of employee wellbeing and benefits programs, including payroll implications.
- Familiarity with HRIS systems (Workday preferred) and benefits-related compliance regulations.
- Minimum of 3 years of experience in Human Resources, with a focus on benefits and wellbeing administration.
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
Skills & Abilities
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and report writing.
- Highly organized with strong attention to detail and accuracy in data entry.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional demeanor and ability to work independently with minimal supervision.
Physical Requirements
- Ability to sit or stand for extended periods.
- Occasional lifting or carrying of items up to 10 pounds.
