Job Summary:
The Administrative Assistant at A New Leaf provides front desk support by greeting visitors, managing calls, and assisting with inquiries in a professional and friendly manner. This role is responsible for organizing office systems, coordinating mail and filing, maintaining supplies, and supporting staff with clerical tasks, reports, and special projects. The Administrative Assistant also plays a key role in ensuring compliance with agency procedures, maintaining accurate records, and contributing to a positive and welcoming office environment.
Hourly Pay Rate: $20.00
Schedule: Monday – Friday; 8AM-5PM
Location: Mesa, AZ
Required Orientation
Our New Hire Orientation takes place during your first week of employment:
Monday–Friday | 8:30 AM–5:00 PM | HR Campus in Mesa, AZ
Early release may be granted upon completion of all orientation requirements. Please note: orientation is not available during evenings or weekends.
Qualifications:
Education:
• High school diploma, GED, or equivalent required
• Associate or bachelor’s preferred
Experience:
• Demonstrated ability to manage multiple phone lines and handle multiple projects concurrently.
• Effective verbal and written communication skills are essential.
• Confirmed proficiency in utilizing Microsoft Software Suite, and overall computer literacy.
• Bilingual verbally in Spanish, preferred.
Responsibilities:
• Greets and assists visitors in a professional and friendly manner, handling inquiries, requests, and complaints efficiently.
• Manage incoming calls by promptly answering them, addressing caller inquiries, providing relevant information, and transferring calls to appropriate individuals, departments, or programs as needed. Check and manage voicemail messages.
• Facilitate mail distribution for the Agency.
• Manage the organization of the live file system, handling filing tasks within the administrative office and, distributing incoming facsimiles.
• Maintain cleanliness and organization in the administrative office and ensure adequate supplies are available.
• Create and maintain Affirmative Action files and statistics.
• Maintain employee bulletin board.
• Become familiar with all sites and needs of Agency as they apply to the position.
• Attend and actively contribute to staff and training meetings.
• Prepare minutes of meetings as required by program needs.
• Offer support with special projects, as needed.
Working Conditions/Physical Requirements:
• In office-based
• Ability to sit for extended periods while working on a computer.
• Occasional lifting of up to 25 lbs. for materials or office supplies.
• Must be able to maintain confidentiality and professionalism in all client and team interactions.

• Class One Fingerprint Clearance Card
• DCS Central Registry Background Check
• Drug Screening
• TB Test (Depending on Program)
• CPR/First Aid Certification
• Therapeutic Options Training (Depending on Program)
• Valid Unrestricted Driver’s License
• Current Auto Liability Insurance
• 39 Month Motor Vehicle Record
