About The Role

We are seeking a reliable and detail-oriented Virtual Office Assistant to provide part-time administrative support. The primary focus of this role is assisting with Restricted Health Care Plans (RHCPs) and Specialized Health Care Condition Plans (SHCPs) required under Title 22 for Adult Day Programs and Residential Care Facilities for the Elderly (RCFEs).

When RHCP/SHCP work is complete, the assistant will also prepare, upload, and edit Word documents for online medical education courses, as well as perform other administrative tasks as needed.


Key Responsibilities

  • Draft, edit, and update RHCPs and SHCPs in compliance with Title 22 regulations.
  • Maintain accurate and organized records of plans and supporting documentation.
  • Ensure healthcare plans are formatted consistently and kept current.
  • Accurately interpret and document medical terminology, conditions, and treatment details.
  • Prepare, upload, and edit Word documents for online courses.
  • Convert, edit, and organize documents into PDF format, including scanning, uploading, and filing.
  • Support leadership and business operations with additional administrative tasks.
  • Communicate with leadership to confirm priorities and meet deadlines.
Requirements
  • Strong competency in medical terminology with the ability to manage healthcare-related language.
  • Ability to recognize drug names or quickly research them using reference tools.
  • Proficiency in Microsoft Word and Excel.
  • Experience using tools like TheFormTool or similar.
  • Skilled at creating and managing PDFs; comfortable with scanning and digital file management.
  • Professional Microsoft Outlook email address for official communication.
  • Excellent written English and strong attention to detail.
  • Strong organizational and time management skills.
  • Ability to follow instructions and work independently.

Preferred Skills

  • Familiarity with Title 22 regulations for Adult Day Programs and/or RCFEs.
  • Experience drafting or maintaining compliance documents in healthcare or education.
  • Comfort working with online learning platforms or course materials.
