Responsibilities
- Coordinate and manage complex calendar scheduling, including internal and external meetings, across multiple time zones for the VP and leadership team.
- Facilitate effective cross-group relationship building and communication.
- Track, reconcile, and report on operational budgets, ensuring accuracy and compliance.
- Identify and implement process improvements to enhance team efficiency, streamline workflows, and support organizational priorities.
- Organize and execute logistics for team events, offsites, all-hands meetings, and key business reviews, ensuring seamless coordination from planning through delivery.
- Serve as a trusted liaison between the VP, internal teams, and external partners, handling confidential information with discretion and professionalism.
- Support onboarding of new team members, including provisioning resources, facilitating introductions, and ensuring a positive ramp-up experience.
- Manage and maintain critical documentation, including organizational charts, team sites, and process guides, ensuring information is accurate and accessible.
- Champion team well-being by organizing morale-boosting activities, recognition programs, and wellness initiatives to foster a positive and inclusive work culture.
- Collaborate on special projects and strategic initiatives as directed, demonstrating flexibility and a proactive approach to evolving business needs.
- Oversee space management responsibilities, including tracking team seating assignments, coordinating office moves, and partnering with peers and leadership to ensure optimal workspace utilization.
Qualifications
Required Qualifications:
- 2+ years Administrative, Business Support, and/or customer service experience.
- Proficiency with Microsoft 365 suite (Outlook, Teams, Word, Excel, PowerPoint, OneNote), calendaring, and virtual collaboration tools.
- Good written and verbal communication skills, with proven attention to detail and follow-through.
- Experience managing multiple priorities and stakeholders in a fast-paced environment.
- Ability to exercise sound judgment, handle confidential information, and effectively resolve challenges independently.
- Experience supporting senior leaders or managing business operations within a large, matrixed organization.
- Strong analytical and problem-solving skills.
- Experience working cross-functionally and with geographically distributed teams.
- Demonstrated ability to adapt to changing priorities and proactively anticipate business needs.
- High school diploma or equivalent.
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.10 - $43.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $35.72 - $51.11 per hour.
