JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 4 coordinates organization-wide design, message, and content generation, including electronic and print communications. This position reports directly to the Departmental Chair and assists the Chair by providing executive-level administrative support under limited supervision. This position administers the Department of Physiology communication plan incorporating the use of The UT Health Science Center Department of Physiology website, departmental newsletter, social media, and other outlets to facilitate communication with current and prospective students/residents/fellows, the Department of Physiology alumni, donors, faculty, staff, and other stakeholders.
- Designs, creates, updates, and maintains the Department of Physiology web pages that are clear and engaging as informative, up-to-date, and useful in publicizing Physiology information for current and prospective students, parents, staff, faculty, alumni, and other stakeholders.
- Collaborate with the Department Chair and others within the department to create and develop information for the department web pages and ensure the information is timely and relevant.
- Develops and manages online communities on social media properties, including LinkedIn followers, Facebook fans, Blog, and Twitter followers. Monitors conversations on multiple platforms in an effort to increase followers’ engagement.
- Collaborates with University faculty and directors for publication development drafts, reviews, and provides follow-up.
- Writes original material for publication to complement the Department of Physiology’s goals and mission for a variety of audiences.
- Coordinates and executes recruitment of direct entry students to the Department's graduate program via virtual and in-person career fairs, campus visits, and recruiting workshops.
- Serves as Chair's liaison to faculty hiring search committees, departmental committees, and University committees.
- Performs extensive content editing for grant proposals, peer-reviewed manuscripts and abstracts, and fellowship applications for Chair and Department faculty and trainees.
- Serves as departmental point-of-contact for initial and subsequent faculty candidate outreach.
- Performs satisfaction surveys, continual quality improvement surveys, and analyzes data to present to Chair, Department faculty, committee chairs, and UT Health Science Center administration as appropriate and at the discretion of Chair.
- Performs functions such as statistical analysis, compiling and analyzing compliance reports for government/state grants and contracts, and analyzing and advising on financial matters.
- Conducts media relations program for selected events and/or activities; writes and distributes press releases; maintains media archives.
- Performs other duties as assigned.
Minimum Requirements:
EDUCATION: Bachelor’s Degree in Mass Communications, Marketing, Journalism, or a related field. (TRANSCRIPT REQUIRED)
EDUCATION: One (1) year of related experience; OR a combination of education and experience to equal five (5) years of related experience.
Knowledge, Skills, And Abilities:
- Confident communicator and presenter.
- Excellent writing, editing, proofreading, layout, and design skills.
- Professional printing/publishing skills are essential.
- Ability to present concepts verbally.
- Superior project management and time management skills.
- Wide degrees of creativity and latitude.
- Knowledge and understanding of current trends in digital media/social media.
- Proficiency in website design, social media, newsletter/brochure production and the use of software such as Microsoft Office, Publisher, and InDesign is preferred.
